Alberta Health Services is seeking a Scheduling Team Lead to guide the Scheduling Shared Services team at Chinook Regional Hospital. You will direct staffing clerks, monitor workloads, and keep unit work plans and staff schedules current via WFM, collaborating with the SSC Manager and unit managers to resolve high-priority scheduling issues.
This temporary, 0.62 FTE role requires post-secondary education and 2+ years in customer service and staffing.

Scheduling Shared Services supports the day-to-day scheduling tasks of employees and managers. As the Scheduler Team Lead (STL) you will provide critical expertise in the daily operations of the staffing office by providing direction to staffing clerks, monitoring workloads and workflows in collaboration with the Scheduling Service Centre (SSC) Manager. You will provide scheduling support for Unit Managers, Charge Nurses and Relief Team Managers to ensure unit work plans and staff schedules/assignments are up to date and maintained through WFM. Leveraging strategic communication and problem-solving skills will be key in the ongoing collaboration with managers to resolve high priority scheduling issues in WFM. Your scheduling expertise will enable the ability to anticipate staffing needs and communicate effectively to your client groups. Dynamic customer service skills will be needed to fluidly support your clients in optimizing the use of WFM and helping to extract information from scheduling reports and related statistics. The STL will act as a mentor for peers and must actively promote and facilitate a positive work environment by fostering a team attitude of acceptance and tolerance. The STL will also be adept at maintaining cohesion by utilizing proven conflict resolution skills both within their team and for internal clients. The successful STL will efficiently assist with reviewing timecards in the WFM, analyze the time admin exception reports, investigate pay errors from a timekeeper perspective and make the necessary corrections for accurate delivery of pay.STL’s will be assigned to support the SSC hours of operation: 0530 to 2330.
As an Administrative Support V, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.
Completion of post-secondary education (e.g. certificate in office or business administration).
Additional Required Qualifications:Minimum 2 years of customer service experience.Minimum 2 years of staffing services experience (scheduling, timekeeping and payroll).Demonstrated leadership experience.Ability to participate and complete 3-week STL Training course as required.Ability to participate and complete additional training as required.Knowledge and operation of Microsoft Outlook, Word and Excel.
Preferred Qualifications:Experience with ESP/WFM.Current experience working in a Centralized ESP/WFM Scheduling Service Centre.Timekeeping and payroll processing experience in ESP/WFM.Call Centre experience.Demonstrated coaching and mentoring experience.Experience working in a unionized, health care and 24/7 environment.Knowledge of applicable collective agreements.
