Position Summary:
Provides general administrative and clerical support to the location following standardized processes and procedures. Utilizes various computerized systems and software to perform tasks. Tasks vary depending on the size and staffing of the location. Work is performed under general supervision with limited decision-making authority.
Key Responsibilities:
- Answer telephones, assist or route calls to appropriate personnel, sort and open mail, order office supplies, and maintain files.
- Manage petty cash, reconcile expenditures, and submit documentation for replenishment.
- Process payments, enter information into cash logs, deposit funds, and communicate deposit details.
- Create purchase orders, obtain management approval, and maintain purchasing documentation.
- Maintain inventory records, create purchase orders as needed, and reconcile invoices.
- Handle warranty claims, complete necessary forms, and track vendor payments/credits.
- Review timesheets for accuracy, calculate piece-rate payments, and prepare related spreadsheets.
- Complete billing activities accurately and promptly, resolve inquiries efficiently.
- Manage accounts receivable, including invoicing, collections, and deposits.
- Handle membership activities, schedule customer visits, generate reports, and manage the Ad Builder website.
- Ensure timely closing of tickets and jobs with accurate information.
- Gather documentation for employee actions, communicate with payroll, and maintain HR records.
- Generate system reports for activity updates and fiscal closes, including wage and invoice estimates.
- Follow SOX procedures to ensure proper documentation.
- Represent the company professionally and ethically in all activities.
- Perform other duties as assigned, maintaining regular attendance.
Qualifications:
- High school diploma or equivalent, with at least one year of clerical or accounting experience.
- Knowledge of administrative and record-keeping practices.
- Ability to learn and adhere to company processes and procedures, including HR record management.
- Maintain confidentiality of sensitive information.
- Work well under pressure, meet deadlines, and pay high attention to detail.
- Handle stressful situations and customer complaints effectively.
- Multitask efficiently in a busy environment, organize priorities.
- Excellent customer service, communication, and interpersonal skills.
- Experience with computers and office systems, including Microsoft Word, Excel, and Outlook.
- Ability to communicate clearly with customers and co-workers.
- Work effectively both independently and as part of a team.
