  • Maintain inventory of office and IT supplies and manage calendars.
  • Greet visitors and provide front desk support; coordinate vendors.
  • Perform data entry, filing, and document organization using MS Office and Google Workspace.

Position Summary:

We are seeking an enthusiastic and organized Administrative Assistant to join our Toronto office. This opportunity is ideal for a recent graduate beginning their career in business administration or office operations. This role is strictly focused on administrative and office support functions. You will support daily office operations through coordination, logistics, and general administrative tasks.

Key Responsibilities:
Purchasing & Office Support
  • Assist in ordering office supplies and requested items
  • Track deliveries and follow up with vendors
  • Support invoice processing and maintain purchase records
Shipping & Coordination
  • Track shipments and assist with delivery coordination
  • Help set up workstations for employees
  • Maintain inventory of office and IT supplies
  • Escalate technical issues when needed
Office Operations
  • Maintain seating plans and office records
  • Support directory updates
  • Assist with access cards and building coordination
  • Manage meeting room bookings and calendars
  • Greet visitors and provide front desk support
  • Assist in coordinating vendors and office upkeep
General Administrative Duties
  • Perform data entry, filing, and document organization
  • Proofread documents and communications
  • Use Microsoft Office and Google Workspace
Qualifications:
  • Recent graduate (or up to 2 year experience) in Business/Office Administration or related field
  • Internship or co-op experience
  • Ability to work independently and in a team
  • Strong work ethic and eagerness to learn
  • Reception or front desk exposure (Asset)
  • Inventory or office coordination experience
  • Familiarity with tools like Google Calendar, Asana, or Monday.com (Asset)
