Job Description
The candidate will join the Global Engineering function as aDigital Portfolio Support Officer (PSO), supporting the management of a digitalproject portfolio covering engineering facilities, health & safety, wellbeing, and environmental sustainability initiatives. The role is positionedas the operational right hand of the portfolio lead, ensuring portfoliogovernance, reporting quality, project follow-up, and coordination acrossmultiple stakeholders. The position is support-oriented rather than projectleadership focused and requires a candidate who can work autonomously, executetasks with limited supervision, and deliver review-ready outputs.

The candidate will work in a matrix organization andinteract with a broad network of project managers across approximately 14active projects, potentially growing to around 20 stakeholders. The rolerequires frequent collaboration with project managers, portfolio stakeholders,and leadership teams to support portfolio reviews, governance activities, prioritization processes, and project communications. Daily interactions willtake place in both French and English speaking environments.
Day to day
- Followup with project managers on project status, milestones, deliverables,resource allocation, and budget tracking.
- Prepareand consolidate portfolio review materials for portfolio prioritizationmeetings, monthly status reviews, and governance committees.
- Supportthe preparation, facilitation, and follow-up of portfolio and governancemeetings.
- Maintaindashboards, KPIs, portfolio trackers, status reports, and reportingdocumentation.
- Createleadership-ready presentations and portfolio review content with clearmessaging and storytelling.
- Monitorproject backlogs and progress through tools such as Azure DevOps.
- Preparecommunication packages, newsletters, project updates, and slide decks.
- Maintainand update SharePoint content, documentation repositories, templates, anddepartment information.
- Ensuredocumentation is properly prepared, versioned, archived, and accessible.
- Supportportfolio governance compliance and continuous improvement initiatives.
- Contributeto resource planning activities and portfolio capacity reviews.
- Proactivelychase stakeholders across multiple communication channels to ensure timelyupdates and actions.
Requirements
- Typically5-8 years of experience minimum in Project Coordination, PMO, PortfolioSupport, or similar project governance environments.
- Moresenior profiles can be accepted provided they are comfortable with asupport-oriented role rather than a portfolio leadership position.
- Strongtrack record of autonomous execution and stakeholder coordination isexpected.
- Strongorganizational, planning, and follow-up skills.
- Abilityto work autonomously with limited supervision and deliver high-qualityoutputs.
- Excellentstakeholder management and communication skills.
- FluentEnglish and French (minimum professional working proficiency in bothlanguages).
- Advancedproficiency with the Microsoft ecosystem, particularly PowerPoint andExcel.
- Abilityto build executive-level presentations and adapt communication todifferent audiences, including leadership.
- Experiencemaintaining reporting dashboards, KPIs, trackers, and portfoliodocumentation.
- Stronganalytical mindset with attention to detail.
- Comfortablechallenging stakeholders and proactively following up to obtaininformation.
- Experienceworking with project management methodologies (Agile, Waterfall, or hybridapproaches).
- Experiencewith SharePoint, Teams, and document management practices.
