Job summary

EMW, Inc. is seeking a Cyber Security Operations Support Specialist in Mons, Belgium to assist NATO-aligned branch administration.

The role requires an active NATO SECRET clearance and 100% on-site work, with a possible remote blend up to 46 days per year. Responsibilities include calendar management for the Branch Head, travel arrangements, onboarding/offboarding processes, and maintenance of trackers across Power BI, SharePoint, Jira, ServiceNow, and Excel.

Qualifications

• Proven ability to review and prepare technical and administrative documentation.
• Excellent proofreading and attention to detail; quality assurance of documents.
• Strong organizational skills with ability to manage multiple tasks, priorities, deadlines.
• Excellent command of written and spoken English; NATO professional proficiency expected.

Responsibilities

• Support the planning and administration of official travel arrangements.
• Support onboarding and offboarding administrative activities for Branch personnel.
• Track Branch training requirements, requests, approvals, and follow-up actions.
• Manage the Branch Head's calendar, scheduling, prioritisation, coordination, and deconfliction of engagements.
• Coordinate and support Branch-level meetings, prepare agendas, record minutes, track actions, and follow-up.
• Maintain Branch-level decision, action, and follow-up trackers.
• Draft and coordinate internal communications for the Branch Head.
• Serve as the primary administrative point of contact for cross-branch queries and coordination matters.
• Track key service delivery milestones and artefacts, including kick-off dates and final reports.
• Raise, coordinate, and track purchase requests and related actions.
• Follow up with customers and internal stakeholders on travel, procurement, and time allocation.
• Support time allocation tracking, reconciliation, and reporting.
