Job summary

Uniting NSW.ACT's headspace Hawkesbury in Richmond, NSW, is seeking a Program Administration Officer to support clinical and operational teams and ensure clients feel welcomed and supported.

You'll provide day-to-day admin, diary management, reception duties, and financial support, contributing to a smooth service for young people accessing mental health care. This role suits organized, proactive individuals in a busy, youth-focused environment.

Qualifications

• Experience in administration or medical reception.
• Comfortable working in the Mental Health space.
• Highly organised, calm under pressure with the ability to multi-task.
• Able to work autonomously, exercise initiative, and have a proactive approach to problem resolution.
• Good computer skills, including Word, Excel, Outlook and PowerPoint.
• Strong communication and customer service skills, with the ability to maintain confidentiality.

Responsibilities

• Providing day-to-day administrative support to internal staff, private practitioners and external partners.
• Diary and appointment management including minuting meetings
• Reception duties including multi-site phone support
• Financial support – invoicing and Medicare bulk billing
• Creating a welcoming, inclusive and youth-friendly environment for all visitors
• Site management including maintenance requests and stock control
