Job summary

Uniting’s headspace Hawkesbury unit is seeking a Program Administration Officer to support clinical and operational teams, ensuring smooth service delivery for young people and families. The role emphasizes welcoming environments and efficient admin processes.

The successful candidate will be organised, adaptable, and capable of multi-tasking in a busy, people-focused setting, with prior admin or medical reception experience in mental health or youth services being highly valued.

Qualifications

• Experience in administration or medical reception.
• Comfortable working in the Mental Health space.
• Highly organised, calm under pressure with the ability to multi-task.
• Able to work autonomously, exercise initiative, and have a proactive approach to problem resolution.
• Good computer skills, including Microsoft Word, Excel, Outlook and PowerPoint.
• Strong communication and customer service skills, with the ability to maintain confidentiality.
• Experience in a similar administrative or reception role within mental health or youth services will be highly regarded.

Responsibilities

• Providing day-to-day administrative support to internal staff, private practitioners and external partners.
• Diary and appointment management including minuting meetings
• Reception duties including multi-site phone support
• Financial support – invoicing and Medicare bulk billing
• Creating a welcoming, inclusive and youth-friendly environment for all visitors
• Site management including maintenance requests and stock control
