Event Operations Group Pty Ltd – Cowes VIC is seeking a workforce planning and HR support lead to coordinate recruitment, onboarding and payroll for casual event staff across peak and off-peak periods.

You will work with project and site teams to anticipate requirements, maintain talent pools and ensure compliance with licences and training. This role focuses on accurate rostering and payroll processing for a growing events business.

Qualifications

  • Experience in event management, workforce coordination or HR administration.
  • Strong organisational skills and attention to detail.
  • Excellent written and verbal communication; comfortable leading interviews.
  • Ability to manage multiple events and high-volume recruitment.
  • Knowledge of Australian employment legislation.
  • Experience with rostering, timesheets, payroll inputs and records.

Responsibilities

  • Act as the central coordination point for workforce planning across all projects, leading end-to-end planning.
  • Work with Project Managers, Site Managers and Event Coordinators to understand upcoming requirements ahead of lead times.
  • Monitor workforce capacity and flag recruitment needs before shortages occur.
  • Develop seasonal workforce plans for peak events and off-season periods.
  • Lead end-to-end recruitment for casual event staff; initiate campaigns ahead of demand.
  • Build and maintain talent pools for key roles to enable quick fills.
  • Coordinate onboarding, inductions, licences, compliance and payroll documentation.
  • Own end-to-end preparation and administration of payroll for casual staff.
  • Maintain employee records and HR documentation; prepare contracts and variations.
  • Coordinate induction, training and competency records across the workforce.

Event Operations Group Pty Ltd – Cowes VIC

Key responsibilities
  • Act as the central coordination point for workforce planning across all projects, leading end-to-end workforce planning across event and off-season periods
  • Work with Project Managers, Site Managers and Event Coordinators to understand upcoming requirements ahead of an agreed lead time
  • Monitor workforce capacity on a rolling basis and flag recruitment needs before shortages occur
  • Develop seasonal workforce plans that anticipate peak event periods, quieter operational periods and future business growth
  • Lead end-to-end recruitment for casual event staff, initiating campaigns ahead of confirmed demand
  • Build and continuously maintain talent pools for key operational or supervisory positions so roles can be filled quickly
  • Coordinate employee onboarding and induction programs, ensuring all employees complete required licences, inductions, compliance and payroll documentation before commencing work
  • Own the end-to-end preparation and administration of the company's casual workforce payroll, ensuring hours, rates, allowances, and other payroll inputs are accurately recorded and processed
  • Maintain accurate employee records and HR documentation, prepare employment contracts and variations
  • Coordinate induction, training and competency requirements across the workforce and maintain records of licences, competencies and mandatory training
What We're Looking For
  • Experience in event management, workforce coordination, recruitment administration, HR administration, operations or people-process support
  • Strong organisation, attention to detail and deadline management
  • Excellent written, verbal and relationship-management skills, comfortable leading interviews
  • Highly organised, with the ability to manage competing priorities, deadlines and high-volume recruitment across multiple events
  • Sound working knowledge of Australian and New Zealand employment legislation
  • Strong attention to detail in rostering, timesheets, payroll inputs and employee record-keeping
  • Sound judgement, confidentiality and secure information handling
  • Proficient with online workforce systems such as rostering, payroll and applicant tracking software, with the ability to report on workforce data
  • Current Australian Driver Licence, First Aid Certificate, Construction Induction (White Card)
