Job summary

CBRE Group, Inc. is seeking a Maintenance Planner to join a new Integrated Facilities Management team supporting a global life sciences manufacturer.

You will build and manage the forward maintenance pipeline, prepare work packs and maintain the weekly schedule, coordinating with technicians and subcontractors to ensure work is done on time and in compliance. The ideal candidate has CMMS experience, strong Excel skills, and proven ability to engage with stakeholders to deliver safe, auditable

Qualifications

• Proven experience as a Maintenance Planner, Scheduler or CMMS Planner.
• Working knowledge of CMMS and planned and reactive maintenance workflows.
• Solid understanding of building services (HVAC, electrical, mechanical, fire) and statutory maintenance obligations.
• Strong attention to detail and a disciplined approach to documentation and closeout.
• Confident stakeholder engagement with technicians, subcontractors and client representatives.
• Advanced Excel and MS Office skills.
• Clear written and verbal communication.

Responsibilities

• Build and manage the forward maintenance pipeline, including long-lead items and shutdown readiness.
• Prepare work packs with scope, labour, materials, permits and access confirmed before release.
• Produce and maintain the weekly locked schedule, balancing workload.
• Coordinate shutdown and planned outage activities with engineering and production stakeholders.
• Manage preventive and corrective work orders in SAP PM, including notifications and orders.
• Enforce work order quality and proper closeout (TECO).
• Support asset hierarchy improvements and maintenance plans.
• Schedule and track statutory maintenance across fire, water, lifts, electrical, HVAC, refrigeration.
• Coordinate subcontractors and site inductions.
• Review service reports and ensure GMP documentation/audit readiness.
• Prepare monthly maintenance reporting on PPM compliance, backlog, SLA.
• Control contract scope and coordinate extra works quotations.
• Support PO, goods receipt and invoice alignment with subcontractors.
• Keep account and client teams informed of risks and issues.
