Hot Water Sydney / Howard Plumbing Sydney is seeking a dedicated Service Coordinator / Scheduler to keep our Banksmeadow team of plumbers moving efficiently. The role focuses on scheduling across SimPRO, coordinating with owners, tenants and property managers, and maintaining clear client communication.

Based in Banksmeadow, you'll work Monday to Friday 8:00am–5:00pm with onsite parking. The successful candidate will bring solid dispatch experience in a busy trades environment and comfort with

Qualifications

• Scheduling experience in a busy trade or service business.
• Basic plumbing knowledge and terminology preferred.
• Clear, friendly phone manner with owners and tenants.
• Familiarity with strata/real estate processes and access approvals.
• Strong organizational skills and attention to detail.
• Ability to handle multiple urgent jobs calmly.

Responsibilities

• Schedule and dispatch jobs across the team in SimPRO with efficient routing.
• Book access with owners, tenants and property managers; update strata managers.
• Slot urgent work without derailing the day’s plan.
• Promptly handle calls and emails in a professional manner.
• Collaborate with plumbers to reduce travel time and boost productivity.
• Prepare and submit client reports and service records.
• Assist with invoicing, purchase orders and cost tracking.

Howard Plumbing has been at this for over 55 years - one of the longest-established plumbing businesses in Sydney. We specialise in strata, commercial, real estate and residential plumbing across the Eastern Suburbs, CBD, Inner West and North Shore. The phones are busy, the Inbox is humming, and the days move fast.

We are looking for an experienced Scheduler to keep our team of plumbers moving. If you thrive in a fast-paced environment, love solving logistical puzzles and can stay calm when the phones won't stop ringing, we'd love to hear from you.

Please note this role is based 5 days a week in our Banksmeadow office. Working hours are Monday to Friday 8:00am to 5:00pm.

About the role

• Scheduling and dispatching jobs across the team in SimPRO, with routing that makes sense for a patch that crosses the harbour
• Booking access with owners, tenants and property managers and keeping strata managers and homeowners updated
• Slotting in urgent and emergency work without throwing out the rest of the day
• Handling calls and emails promptly and professionally
• Working closely with the plumbers to cut travel time and keep the day productive
• Prepare and submit client reports, service records, and other supporting documentation
• Assist with invoicing, purchasing orders, and cost tracking

About you

• Scheduling or dispatch experience in a busy trade or service business (plumbing experience highly regarded)
• General understanding of trades/building services; in particular basic plumbing knowledge and terminology would be ideal
• simPRO highly regarded (ServiceM8, AroFlo, Ascora or similar also welcome, curious about Ai
• Familiarity with strata and real estate processes: work orders, tenant access and approvals
• A clear, friendly phone manner with owners, tenants and agents
• Strong organisation and attention to detail
• A calm head when multiple urgent jobs land at once
