Job summary

Anglicare NSW South, NSW West & ACT is seeking a Retirement Village Administration Assistant to join our team in Goulburn, NSW. The role provides administrative support across village operations and serves as the main contact for residents, visitors, and stakeholders.

The position is permanent and part-time (50 hours per fortnight, 5 hours per day, Mon–Fri). Ideal candidate holds a Certificate III in Business Administration and demonstrates strong customer service, organisational skills, and

Qualifications

  • Certificate III in Business Administration or equivalent.
  • Strong customer service and interpersonal skills.
  • Experience in administration and office management practices.
  • Strong organisational skills and ability to manage competing priorities.
  • Knowledge of Work Health and Safety requirements.
  • Understanding of needs of older people and retirement living environments.
  • Excellent written and verbal communication skills.
  • Experience managing confidential information and maintaining accurate records.
  • Basic understanding of financial administration processes.
  • Commitment to Anglicare’s mission and values.
  • WWVP ACT/NSW Working with Children Check and Driver’s Licence.
  • First Aid and CPR certification or willingness to obtain.

Responsibilities

  • First point of contact for residents, visitors, contractors and stakeholders, delivering excellent customer service.
  • Coordinate resident communications, village notices, meetings, and community events.
  • Provide admin support to Retirement Village Manager and Assistant Manager.
  • Prepare and distribute correspondence, notices, meeting agendas, minutes, and other documents.
  • Maintain electronic records, databases, and filing systems.
  • Monitor contractor documentation, including licences and insurances.
  • Receive and coordinate maintenance requests and contractor appointments.
  • Process purchase orders, invoices, and routine financial tasks.
  • Prepare reports and support data collection and record management.

Education

Certificate III in Business Administration
Strong customer service and interpersonal skills
Experience in administration and office management
Strong organisational skills
Knowledge of Work Health and Safety
Understanding of needs of older people and retirement living environments
Excellent written and verbal communication
Experience managing confidential information and maintaining records
Basic understanding of financial administration processes
Commitment to Anglicare values
WWVP Card – ACT and NSW Working with Children Check
Valid Driver’s Licence
First Aid and CPR Certificate or willingness to obtain

About the Opportunity

The Retirement Village Administration Assistant provides administrative and coordination support across village operations. The position acts as a key administrative contact for residents, visitors and stakeholders and contributes to the smooth operation of the village through efficient administration and customer service.

Key Responsibilities
  • Act as the first point of contact for residents, visitors, contractors, and external stakeholders, delivering excellent customer service.
  • Coordinate resident communications, village notices, meetings, and community events.
  • Provide professional administrative support to the Retirement Village Manager and Assistant Manager in accordance with organisational policies, workplace health and safety requirements, and privacy obligations.
  • Prepare and distribute correspondence, notices, meeting agendas, minutes, and other documentation.
  • Maintain accurate electronic records, databases, filing systems, and resident information.
  • Monitor and maintain contractor documentation, including licences, insurances, and compliance records.
  • Receive, record, and coordinate maintenance requests and contractor appointments as directed.
  • Process purchase orders, invoices, and routine financial administration activities.
  • Prepare reports, maintain registers, and support data collection and record management processes.
About You
  • You hold a Certificate III in Business Administration, or a related field, or equivalent demonstrated experience.
  • You demonstrate strong interpersonal skills and a commitment to customer service.
  • You demonstrate experience in administration and office management practices.
  • You possess strong organisational skills with the ability to manage competing priorities and meet deadlines.
  • You demonstrate knowledge of Work Health and Safety requirements.
  • You have good understanding of the needs of older people and retirement living environments.
  • You possess excellent written and verbal communication skills.
  • You have experience managing confidential information and maintaining accurate records.
  • You possess basic understanding of financial administration processes.
  • You are committed to Anglicare’s mission and values of integrity, inclusiveness, dignity, and compassion.
  • You have a current Working with Vulnerable People (WWVP) Card – ACT and Working with Children Check - NSW.
  • You have a valid Driver’s Licence.
  • You have a valid First Aid and CPR Certificate (or willingness to obtain).
