Job summary

Evolve Housing is seeking a Property Maintenance and Compliance Coordinator to join our Property Services team on a 12‑month contract. You will coordinate repairs, planned maintenance, compliance programs and vendor activity to deliver safe, compliant outcomes across our housing portfolio.

You will support assessments, onboarding of new properties, and ensure timely actions, robust records and stakeholder collaboration.

Qualifications

• Relevant experience in property or facilities maintenance, building services, community housing, or real estate operations.
• Experience coordinating maintenance programs, contractors, quotations, planned works or minor projects from initiation through to completion.
• Practical knowledge of building maintenance and property compliance requirements, with ability to recognise safety, documentation and service risks and elevate them appropriately.
• Experience maintaining compliance schedules, audit evidence, certificates and action registers, preferably across fire safety, smoke alarms, essential services or similar property obligations.
• Understanding of contractor and work health and safety requirements, including review and coordination of licences, insurances, safe work documentation and off-site compliance obligations where applicable.
• Strong program scheduling and project coordination capability, including milestones, priorities, dependencies, risks and multiple concurrent work streams.
• Clear written and verbal communication skills, including respectful communication with residents from diverse backgrounds and effective coordination with contractors, consultants and colleagues.
• Strong digital literacy, including Microsoft 365 and the ability to use housing, asset, work-order and contractor management systems such as ServiceNow and TechnologyOne.

Responsibilities

• Coordinate approved responsive, planned, cyclical and minor works from initiation to completion, including work orders, coordinating property access, scheduling maintenance and contractor attendance, obtaining supporting evidence, follow-up and completion.
• Coordinate contractor quotations for approved maintenance activities, ensuring quotes align with the documented scope of works and escalating technical, pricing or contractual exceptions for review.
• Assist with property assessments by preparing information, verifying completion or progress of work orders, documenting completed maintenance reports, coordinating follow-up actions and maintaining records.
• Assist with onboarding of new properties by ensuring accurate information is recorded in SNOW and coordinating project handovers in a timely and efficient manner.
• Assist Technical Officers with property compliance programs and recurring activities, including smoke alarm servicing, fire safety requirements, essential services and relevant pump or building-services maintenance.
• Maintain compliance schedules, certificates, service records, evidence and action registers, and follow outstanding or non-compliant items through to completion or escalation.
• Coordinate Property Assessment Surveys (PAS) and other required reporting, ensuring source records are complete, accurate and submitted on time.
• Coordinate day-to-day vendor activities across maintenance and compliance programs, including allocation, scheduling, access, documentation, service timeframes and issue resolution.
• Prepare and analyse vendor performance reports against scopes, service levels, quality standards and compliance to escalate underperformance.
• Coordinate project interfaces across multiple teams and prepare progress, risk and exception reports for leadership.
