About The Role
The Project Support Officer will work within the Specialist Systems Team, forming part of a broader CASG project environment. The role provides day-to-day project support across procurement, coordination, governance, logistics, reporting and stakeholder engagement to help the team deliver project objectives.
Defence project experience would be highly regarded.
Key Responsibilities
- Assist and support the Project Manager with day-to-day project activities and procurement-related deliverables, including approvals, expenditure documentation, invoices, stakeholder activities and supporting procurement documentation.
- Prepare and administer Defence Agreements and Work Orders and support the approval and processing of invoices in SAP.
- Engage with internal and external stakeholders to coordinate and support project activities, training and delivery requirements.
- Support equipment preparation, lifting, dispatch and receipt through the Defence Supply Chain.
- Facilitate the safe handover, receipt and delivery of equipment as required.
- Support the day-to-day management of equipment disposal, including assets subject to ITAR or other export-control considerations.
- Assist with the development, maintenance and administration of project plans and related project documentation.
- Prepare correspondence, briefs and reports as directed, including material for senior delegates, committees and governance forums.
- Assist with the management and maintenance of Specialist Systems Team risks using applicable Defence project risk-management tools and processes.
- Undertake System Manager support duties and be prepared to act in the System Manager role when required.
- Manage project correspondence, including oversight and coordination of project mailboxes, records and data management.
- Work collaboratively and maintain effective relationships with customers, colleagues, contractors and other stakeholders.
- Undertake additional project tasks as delegated by the System Manager and Project Director.

- Experience working in a high-performing project team and contributing to the management and delivery of project outcomes.
- Demonstrated ability to build trusted and valued relationships with project team members, customers and partners.
- A high level of competence and experience using Microsoft Office applications.
- Ability to work collaboratively with project team members and stakeholders, including above-the-line and below-the-line contractors and other Defence agencies.
- Sound organisational and management skills aligned with the project's strategic objectives and delivery requirements.
Highly Desirable Experience And/or Qualifications
- Experience working in a Defence environment.
- Experience using Defence Enterprise Resource Planning (ERP) tools, including SAP or comparable systems.
- Experience drafting and preparing briefs, correspondence and reports.
- Recognised project management qualifications or professional accreditation, such as AIPM or equivalent.
- Understanding of contemporary project management frameworks, including PMBOK principles, and experience working within Defence project-management methodologies and governance environments.
