Job summary

Delight Dental Spa Pty in Sydney appears to be seeking a Patient Intake Coordinator with a sales and conversion focus. You will handle new patient enquiries across Mascot and Pagewood/Eastgardens, build trust, answer questions and guide patients toward care.

You’ll manage inbound/outbound contacts, explain treatment options and fees, and maintain a HubSpot/Aircall pipeline while collaborating with reception and clinical teams for a seamless patient journey.

Qualifications

• Experience in sales or customer conversion is preferred.
• Ability to manage multiple conversations and follow-ups.
• Comfort using CRM and telephony tools.

Patient Intake Coordinator – Dental | Sales & Conversion

Delight Dental Spa is looking for a savvy, energetic and highly personable sales professional to manage new patient enquiries across our Mascot and Pagewood/Eastgardens practices.

This is not a traditional reception role. You'll speak with people who are reaching out to us, understand what they're looking for, build trust, answer their questions and confidently help them take the next step into care.

We're looking for someone who genuinely enjoys sales, measurable outcomes and being busy, while always putting the patient first.

The role

• Convert inbound and outbound enquiries into booked consultations
• Understand patients' needs, motivations and concerns
• Confidently explain consultations, treatment pathways, indicative fees and payment options
• Proactively follow up patients who haven't booked
• Manage an active pipeline through HubSpot and Aircall
• Assist with Treatment Coordination, including following up patients considering recommended treatment and helping them progress into care
• Work closely with our reception and clinical teams to provide a seamless patient experience

You'll be busy, genuinely busy. Expect a fast-moving day of inbound calls, fresh online enquiries, outbound follow-ups, treatment coordination and an active CRM pipeline. There will rarely be nothing to do. There's always another patient to contact, conversation to progress or opportunity to follow up.

Dental experience is highly regarded — but not essential

We’d love to hear from experienced Dental Patient Coordinators, Treatment Coordinators or high-performing dental receptionists.

We're also interested in outstanding candidates from healthcare, cosmetic/aesthetic medicine, premium customer service or consultative sales.

If you're great with people and great at sales, we can teach you dentistry, with structured training in our treatments, fees, patient journeys and systems.

• $75,000–$85,000 + super, depending on experience and demonstrated capability
