An exciting opportunity for an experienced Executive Assistant to step into a broad and influential role supporting senior executives while taking ownership of the smooth day‑to‑day operations of a professional national organisation.

Your new company

This established national member‑based organisation represents a diverse and highly regarded industry across Australia and New Zealand. With its head office based in Canberra and employees working across multiple locations, the organisation offers a collaborative, professional and supportive environment with a strong focus on delivering value to its members.

Your new role

As the Executive Assistant & Operations Manager, you will provide high‑level, proactive support to the CEO and COO while playing a key role in coordinating the organisation's day‑to‑day operations. Acting as a central point of coordination across the leadership team and broader organisation, you will manage competing priorities, anticipate executive requirements and ensure important matters are followed through efficiently.

Responsibilities

  • Providing proactive executive support to the CEO and COO
  • Managing complex diaries, meetings, scheduling and executive priorities
  • Monitoring executive correspondence and coordinating responses and follow‑up actions
  • Preparing executives for meetings and ensuring relevant information and documentation is available
  • Coordinating executive workflows and communication across the leadership team
  • Providing administrative and travel support to the Chair as required
  • Overseeing the smooth day‑to‑day running of the Canberra office
  • Managing and supporting the Administration Officer
  • Coordinating general enquiries, team communications and administrative requirements
  • Supporting internal SharePoint and CRM administration
  • Acting as the internal liaison for routine IT and systems matters
  • Maintaining IT asset records and coordinating approved equipment requirements
  • Supporting broader operational priorities across the organisation

What you'll need to succeed

You will be an experienced Executive Assistant or senior executive support professional who enjoys working in a busy environment where no two days are the same. You will bring:

  • Demonstrated experience providing high‑level support to senior executives
  • Strong diary, inbox and workflow management capabilities
  • Excellent organisational skills with the ability to manage competing priorities and deadlines
  • Confidence managing up and anticipating the requirements of senior executives
  • Strong written and verbal communication skills
  • The ability to build effective relationships with senior leaders, colleagues and external stakeholders
  • Experience coordinating agendas, minutes and follow‑up actions
  • Strong Microsoft Office skills with exposure to SharePoint and CRM systems
  • A proactive, solutions‑focused approach and willingness to get involved across the organisation
  • Excellent judgement, discretion and attention to detail
  • The confidence to work autonomously and make decisions when required

You will be someone who genuinely enjoys being the person who keeps things moving. You will be approachable, highly organised and comfortable balancing executive support with broader operational responsibilities.

What you'll get in return

This is an opportunity to take on a varied and trusted position with significant exposure to senior leadership. You will work closely with the CEO and COO while becoming an important coordination point across the organisation.

The breadth of the position provides an opportunity to move beyond traditional executive support and develop further experience across people coordination, office operations, systems and organisational administration.
