As an Operations Administrator, you will provide vital support to the Operations Manager in the smooth running of day-to-day operations. This role covers administration, compliance, rostering, financial tracking, and resource coordination across multiple projects and sites. It's a dynamic position suited to someone who thrives on organisation, problem-solving, and working across a range of operational tasks.
Support the Operations Manager with operational planning, budgets, and reporting.
Manage client invoicing, project-related payables and receivables, and cost allocation.
Review and validate employee, contractor and supplier payments and supporting documentation prior to processing.
Prepare project documentation (SWMS, SDS, policies, compliance portals such as Procore, Hammertech).
Manage onboarding and offboarding of employees, subcontractors, and suppliers.
Assist Area Managers with day-to-day operations, project resource coordination, and compliance checks.
Conduct operational audits, ensure compliance with internal processes , legislations.
Assist with project financial monitoring, KPI reviews, and cost-saving opportunities.
Build strong working relationships with clients, supervisors, staff, and suppliers.
Relevant Certificate, Diploma, Associate Degree, or equivalent experience in Finance, Accounting, Business Administration, or a related field.
Proficient in Xero, including payroll, invoicing, and reporting.
Experience in project cost tracking and reporting.
Proficiency in Microsoft Office, particularly Excel, with strong computer literacy.
High numeracy skills, commercial acumen, and analytical thinking.
Excellent time management, organisation, and ability to prioritise tasks.
Strong initiative with problem-solving and multitasking abilities.
Exceptional written and verbal communication skills.
Ability to work independently and as part of a team, developing relationships with a wide range of stakeholders.
Driver's licence and valid White Card (QLD).
