Growing family-owned business | Brand-new office & warehouse | Supportive team culture
If you're looking for a role where your initiative is valued, your contribution genuinely matters and no two days are the same, we'd love to hear from you!
Fix My Water is a rapidly growing, family-owned Gold Coast business helping Australian families fall in love with their tap water through premium water filtration solutions.
We're passionate about the quality of our products, the service we deliver and the relationships we build with our customers.
As our business continues to expand, we're looking for an experienced, proactive and detail-oriented Administration & Customer Service Coordinator to become a valued member of our team.
This is more than just an administration position. You'll work closely with the business owners and sales team and play an important role in keeping our daily operations running smoothly, supporting our customers and coordinating the many moving parts of a busy and growing business.
We're looking for someone who enjoys variety, takes ownership of their work and genuinely cares about doing a great job.
You'll be the person who helps keep everything organised, on track and running efficiently, from customer enquiries and installation scheduling through to accounts, stock coordination and general office administration.
Your key responsibilities will include:
Delivering exceptional customer service via phone, email and ongoing customer communication.
Coordinating installation bookings, plumbers and customers to ensure a smooth and professional experience.
Managing customer enquiries, follow-ups and after-sales support.
Maintaining accurate customer records and managing our CRM system (Go High Level).
Processing sales orders, invoices, purchase orders and other administrative documentation.
Processing accounts payable, accounts receivable, daily bank reconciliations and general bookkeeping using Xero.
Liaising with external accountants and BAS agents to support monthly and year-end reporting.
Monitoring and managing stock levels across multiple warehouse locations using Lecxa.
Tracking job progress and proactively following up outstanding tasks to ensure nothing falls through the cracks.
Supporting suppliers, tradespeople and the wider team with day-to-day operational requirements.
Maintaining accurate records, organised systems and efficient workflows.
Identifying opportunities to improve processes and help the business operate more effectively.
We're looking for someone who is well presented, confident, capable and an excellent communicator, but above all, someone who is honest, trustworthy, punctual, dependable and a genuine all-rounder.
You'll take pride in your work, enjoy being part of a close-knit team and be equally comfortable working autonomously. You're someone we can rely on to take ownership of your responsibilities, use your initiative and get things done without constant supervision.
You'll also demonstrate professionalism, discretion and confidentiality when handling customer information, financial records and sensitive business matters.
To succeed in this role, you'll have:
A minimum of 3 years' experience in administration, bookkeeping, customer service coordination or a similar office-based role.
Exceptional organisational skills and strong attention to detail.
Excellent written and verbal communication skills, with a friendly, professional and confident phone manner.
A genuine commitment to delivering outstanding customer service.
The ability to manage competing priorities and remain accurate and organised in a busy environment.
A proactive, solutions-focused attitude and the confidence to work independently.
A strong sense of ownership and accountability, following tasks through to completion without constant supervision.
Strong computer skills and the ability to quickly learn and confidently navigate digital systems.
Experience with Xero or similar accounting software, highly regarded.
Experience with CRM systems, advantageous but not essential.
A positive, reliable and flexible approach to working within a small, growing business.
The ability to work collaboratively with customers, suppliers, tradespeople and colleagues.
A current driver's licence and valid Australian working rights.
Most importantly, you'll be someone who sees what needs doing and gets on with it!
You take pride in your work, enjoy finding solutions and understand that the little details make a big difference to the customer experience and the success of the business.
