Job summary

Chang Sheng Food Factory / Dolce Sogno Pty Ltd in Wetherill Park, NSW, seeks an Office Manager to be the administrative backbone of our operations. You’ll link the factory floor, management, suppliers, customers and regulators, handling customer service, e-commerce orders, bookkeeping, payroll, and compliance.

You’ll manage Shopify/Wix channels, use Xero and MYOB for accounting, and oversee HACCP/SQF paperwork, permits and safety inductions in a fast-growing food manufacturing environment.

Qualifications

• Experience managing customer accounts and online order processing.
• Familiar with Shopify and Wix platforms for catalog updates.
• Proficient in Xero and MYOB for accounting.
• Knowledge of HACCP/SQF compliance is desirable.

Responsibilities

• Serve as the primary contact for customer inquiries, processing orders across channels.
• Manage day-to-day bookkeeping, accounts payable/receivable and data entry in Xero/MYOB.
• Coordinate payroll verification under relevant Award and visa checks via VEVO.
• Maintain HACCP/SQF paperwork, permits, and waste management documentation.
• Oversee cold-chain logistics with refrigerated transport partners and safety inductions.

As our Office Manager, you will be the administrative backbone of our operations. You will serve as the critical link between the factory floor, upper management, external suppliers, customers and Australian regulatory bodies. This is a dynamic role requiring a blend of comprehensive customer service, e-commerce operations, logistics, financial administration, and robust food-industry compliance.

Key responsibilities

• Serve as the primary point of contact for all customer accounts. Manage day-to-day inquiries, resolve issues, and process orders across all channels, including managing direct-to-consumer or wholesale online platforms such as Shopify and Wix.
• Manage day-to-day bookkeeping, accounts payable/receivable, and data entry utilizing both Xero and MYOB systems. Ensure all customer invoicing is accurate, reconciled, and up to date.
• Serve as the central linguistic bridge between management, office staff, and the factory floor. Assist with weekly payroll verification under the Food, Beverage and Tobacco Manufacturing Award, including tracking overtime and checking visa work rights via VEVO.
• Maintain and organize paperwork for HACCP / SQF certification. Manage local council permits, EPA requirements, and waste management documentation.
• Coordinate with refrigerated transport partners to ensure strict cold-chain logistics are met for outgoing shipments to customers.
• Oversee safety registers, incident reporting, and organize mandatory staff safety inductions.

About you

• Proven experience managing customer accounts, handling client inquiries, and managing online systems like Shopify and Wix for order processing and basic catalog updates.
• Fluent in English, Cantonese, and Mandarin (both verbal and written).
• Proven hands-on experience using both Xero and MYOB for business accounting and reporting.
• Demonstrated understanding of Australian Fair Work guidelines, superannuation, and local WHS regulations.
• Previous administrative or customer service experience within a food production, warehouse, or logistics environment (desirable).
• Familiarity with food industry quality management systems (HACCP or SQF) (desirable).
