The Office Admin & HR Assistant is the front line and face of the business in the Sydney office and provides key support to the HR function in Australia. You will support the WME in Sydney through effective leadership of all office and facilities management activities, as well as providing administrative HR support to the WME business.
Key responsibilities
- Attending the front desk, welcoming visitors in a professional, courteous manner and being the face of WME Group during business hours.
- Arranging courier bookings and deliveries.
- Maintain office supplies, inventory, kitchen supplies, food and beverages for employees.
- Scheduling meetings and assisting with the set up for client meetings.
- Support the planning and execution of office and staff events and activities.
- Distributing incoming mail and delivering mail as required.
- Support the Australian business as point of contact for travel and accommodation bookings.
- Support the daily maintenance of the office including facilities in collaboration with the building management.
- Answering phone calls, taking messages, announcing calls to senior staff when necessary.
- Support the recruitment process including pre-screening candidates, scheduling interviews, checking references, and providing end to end support during hiring.
- Support the onboarding , offboarding and induction process
- Support the generation of employment agreements, amendment letters and other various documentation related to people’s activities and changes
About you
- High energy, enthusiasm, and a proactive attitude toward challenges.
- The ability to comfortably work independently.
- Outstanding verbal communication skills with a clear, professional, and confident telephone manner.
- Strong computer proficiency, including hands-on experience with Microsoft Office tools, Outlook, Teams, Word, Excel and Powerpoint.
- Exceptional organizational skills with sharp attention to detail and the ability to prioritize tasks in a dynamic office environment.
- Strong interpersonal skills, natural curiosity, and the discretion needed to handle sensitive personal and business information.
