Job summary

Frontier Advisors in Sydney seeks a reliable and proactive Team Assistant to support the Sydney business team. You will help teams operate efficiently, assist key executives, and coordinate travel and meetings while maintaining high-quality administrative standards.

This role focuses on day-to-day operations, document preparation, and stakeholder coordination to ensure excellent client and internal outcomes.

Qualifications

  • High proficiency with Microsoft Office Suite and standard business software.
  • Experience providing administrative support in a professional services environment.
  • Diary and calendar management experience coordinating meetings and travel.
  • Document formatting, proposals, reports and client communications.
  • Liaising with clients, executives and internal teams in a professional setting.

Responsibilities

  • Provide day-to-day administrative support to assigned teams and leaders.
  • Manage calendars, schedule meetings and coordinate internal and external appointments.
  • Monitor shared inboxes and respond to routine queries.
  • Support meeting logistics including room bookings, tech setup and materials.
  • Prepare and distribute meeting papers, packs and follow-up documentation.

Job description

We are seeking reliable, proactive and high quality administrative and coordination support across our Sydney business team. As a Team Assistant, your role is helping the teams operate efficiently and deliver excellent outcomes for clients and internal stakeholders.

The role is a key support point for day today business operations including supporting key executives, Charles Wu and Louise Hulley.

Key responsibilities
  • Provide day-to-day administrative support to assigned teams,leadersand project groups.
  • Manage calendars, schedulemeetingsand coordinate internal and external appointments asrequired.
  • Monitorshared inboxes, respond to routinequeriesand ***?

Support smooth office operations by completing administrative tasks accurately and on time.

Meeting and workflow coordination

  • Assessing and prioritising requests to facilitate the optimal use of their executive’s
  • Managing the executive/s diary, coordinate travel arrangements, and schedule and support meetings to facilitate the effective management of their agenda.
  • Coordinate meetinglogistics, including room bookings, technology set-up,agendasand supporting materials.
  • Prepare and distribute meeting papers,packsand follow-up documentationin a timely manner.
  • Capture actions, trackprogressandassistteam members to follow through on agreed deliverables.

Document, reporting and presentation support

  • Prepare, format and quality check documents, correspondence,reportsand presentations.
  • Maintainconsistent document standards, including version control, naming conventions and record keeping.
  • Assistwith data collation, simplereportingand preparation of routine business updates.
  • Ensure all work isaccurate,well-presentedand aligned to internal templates and brand standards.
  • Overseeing and coordinating the delivery of administrative and support services to ensure that business needs are met, including first level IT support, invoicing, and supplier payments.
  • Maintaining and updating administrative practices, systems and procedures to improve efficiency and service delivery and ensure compliance with Frontier’s standards, policies and procedures.

  • Ensuring that all information isup to date and that team members are aware of procedures and obligations regarding emergency evacuations, health, safety and IT security.
Knowledge/skills/experience

The following capabilities are requirements of the position:

  • High levels of computer literacy including knowledge of the Microsoft Office Suite.
  • Previous administrative experience in a professional services.
  • Diary and calendar management experience coordinating meetings, managing conflicting priorities, and arranging travel.
  • Document and correspondence management – formatting proposals, reports, presentations, and client communications.
  • Stakeholder coordination – liaising with clients, executives, and internal teams in a professional environment.
