Qualifications

  • Experience coordinating events from small to large scale with a focus on logistics and attendee experience.
  • High attention to detail with accuracy in planning, run-sheets and information management.
  • Excellent verbal and written communication; ability to tailor messages to audiences and stakeholders.
  • Strong time management to meet budgets, timelines and deliverables.
  • Ability to work independently in a small team and collaborate across departments.

Responsibilities

  • Coordinate and deliver events including lunches, breakfasts, PD courses, forums, networks, conferences and ad hoc events.
  • Develop event plans, manage timelines, stakeholders and budgets to ensure targets are met.
  • Prepare run sheets, speaker briefs and sponsor briefings with accurate detail.
  • Liaise with Event and Marketing Manager to ensure sponsor deliverables and branding are in place.
  • Arrange travel, accommodation and logistics for speakers and guests; manage onsite activities.

Aboutthe Role

We currently have an exciting opportunity for a NSW EventCoordinator to join the team and be responsible for managing logistics fordesignated events in the NSW Division, ensuring all events run smoothly, meetbudget expectations and deliver a positive experience for Property Councilmembers and sponsors.

Key Responsibilities:
  • Coordination and delivery ofevents, including but not limited to business lunches and breakfasts,professional development courses, forums, networking events, conferences andother ad hoc events
  • Contribute to event plansincluding managing relevant stakeholders, setting and managing timelines
  • Provision of correct informationfor web definition set-up, preparation of run-sheets, chair notes and sponsorbriefings as necessary, ensuring complete attention to detail
  • Manageand track individual event budgets to ensure they are on track to reach targets
  • Manage externalproviders to ensure the effective delivery of services required to deliverthe event
  • As required, book andconfirm availability of speakers, obtain speaker biographies and marketingassets, and arrange pre-event briefings with speakers
  • Developrun sheets and distribute accordingly
  • Liaisewith NSW Event and Marketing Manager to ensure sponsor deliverables aremet and Property Council promotional collateral, including table signageand brand promotion is displayed
  • Organisetravel/transfers and accommodation for speakers, dignitaries, staff andany other special guests as required
  • Manageall onsite activities including staff, emcee and speakers
  • Development and distributionof post event surveys
WhatYou'll Bring
  • Previousexperience in events coordination demonstrating ability to multi-task andproject manage under difficult scenarios and at different stages of their eventcycle
  • Demonstrated experience working with detail-oriented taskswith a high level of accuracy, customer focus and professionalism,self-motivated
  • Marketing experience and/or expertise an advantage
  • Excellent communication and interpersonal skills,particularly verbal, and can adapt to style and medium to suit message andaudience
  • Excellent time management skills and ability to prioritise tomeet and exceed deadlines
  • Professional attitude and professional personal presentation
  • Highly organised and efficient – ability to juggle andprioritise many tasks at the same time through the use of effective timemanagement skills
  • Demonstrated ability to work independently and flexibly in asmall team environment and under direction
  • Hard working, bright, astute, quick thinker and a ‘can-do’attitude
  • Qualifications in events management would be highlydesirable
  • Willingness to travel interstate from time to time
