Job summary

One Heart Centre in Sydney is seeking a dedicated Medical Receptionist (part-time) to join our cardiology-focused practice with locations in Marrickville and North Sydney. You will welcome patients, handle inquiries, manage records, appointments, and billing while maintaining privacy and professional standards.

You will work with the Shexie PMS, coordinate with Medicare and other stakeholders, and support ambulatory monitoring equipment setup.

Responsibilities

• Warmly greet and assist patients in person, by phone and email; manage the reception area.
• Answer incoming calls and respond to patient queries with information about the clinic and services.
• Maintain accurate patient records and ensure confidentiality using Shexie PMS.
• Process patient invoicing, receipting and payments including Medicare/private billing.
• Scan, file and manage referrals, clinical correspondence and outgoing letters.
• Liaise with Medicare, hospital staff, referring doctors and other medical stakeholders.
• Assist with setup and return of ambulatory monitoring devices; full training provided.
• Uphold highest standards of patient privacy, confidentiality and professional conduct.

Job description

We are seeking a dedicated and experienced Medical Receptionist to join our dynamic team at the One Heart Centre in Marrickville and North Sydney. As a part-time Medical Receptionist, you will be responsible for providing exceptional customer service, managing patient enquiries, and supporting the smooth running of our medical practice.

Key responsibilities

Warmly greeting and assisting patients in person, by phone and by email, providing an exceptional first impression of the practice and managing the reception area

Answering incoming phone calls, responding to patient queries, and providing information about the clinic and its services

Maintaining accurate patient records and ensuring the confidentiality of patient information using the practice management software (Shexie)

Processing patient invoicing, receipting and payments, including Medicare and private health fund billing

Scanning, filing and managing incoming referrals, clinical correspondence and outgoing letters

Liaising professionally with Medicare, hospital staff, referring doctors and other medical stakeholders

Assisting with the set-up and return of ambulatory monitoring devices (e.g. Holter monitors, blood pressure monitors) — full training and incentives provided

Upholding the highest standards of patient privacy, confidentiality and professional conduct at all times

About you

Previous experience in a medical reception or customer service role, preferably within the healthcare industry

Strong interpersonal and communication skills, with the ability to interact with patients, healthcare professionals, and colleagues in a warm and professional manner

Excellent organisational and time management skills, with the ability to multitask and prioritise tasks effectively

A keen eye for detail and a commitment to maintaining accurate and up-to-date patient records

A friendly, empathetic, and patient-centric approach to customer service

Ability to work both autonomously and collaboratively within a small, close-knit team

Reliable, trustworthy and punctual with a strong work ethic

Desirable: Familiarity with Medicare Benefits Schedule (MBS) billing process

Desirable: Additional language skills to serve a diverse patient population
