We're seeking an experienced Medical Administrator to be the operational anchor for our specialist physicians — our respiratory and sleep physicians and our cardiologist. This is a hands‑on, varied role suited to someone who thrives in a busy specialist environment, takes ownership of their work, and genuinely cares about looking after patients.
You'll be the first point of contact for many of our patients and a critical link between them, our physicians, and referring GPs. If you're organised, calm under pressure, and confident navigating Medicare and specialist billing, this role offers real variety and the chance to grow with the practice.
Greet and assist patients in person, by phone and by email with warmth and professionalism
Manage the front desk and waiting area, ensuring a welcoming, well‑run environment
Handle patient enquiries and triage messages to the appropriate physician or team member
Manage appointment books and physician calendars across respiratory, sleep and cardiology
Coordinate new and follow‑up appointments, cancellations and waitlists to optimise clinic flow
Book and coordinate diagnostic testing (e.g. sleep studies, lung function testing, cardiac investigations) with internal and external providers
Prepare daily clinic lists and ensure physicians have all required documentation ahead of consults
Manage incoming referrals, ensuring they are valid, current and correctly recorded
Track and follow up outstanding results, reports and correspondence
Liaise with GPs, specialists, hospitals and diagnostic providers
Prepare and dispatch specialist letters and reports in a timely manner
Process billing across Medicare, DVA, private and health fund pathways
Manage claiming, reconciliation and follow‑up of outstanding accounts
Ensure item numbers and billing are accurate and compliant
Handle patient payments and account enquiries
Maintain accurate, confidential patient records in the practice management system
Manage scanning, filing and document workflow
Order and manage stock of office and clinical consumables
Provide general administrative support to physicians and management as required
Minimum 3 years' experience in medical administration, ideally in a specialist or multi‑physician practice
Proficiency with practice management software (e.g. Zedmed, Genie, Gentu, Best Practice or similar)
Strong working knowledge of Medicare and DVA billing, claiming and reconciliation
Excellent verbal and written communication skills
Highly organised, with strong attention to detail and the ability to juggle competing priorities
A professional, empathetic and patient‑focused manner
Ability to work autonomously and collaboratively within a small team
Sound computer literacy (Microsoft Office, email, scanning systems)
Access to a car is essential.
Experience in respiratory, sleep or cardiology settings
Familiarity with coordinating diagnostic testing (sleep studies, lung function, ECG/echo)
Understanding of specialist referral requirements and MBS item numbers relevant to these fields
