Job summary

Sydney Voice & Swallowing in Sydney's Green Square, St Leonards and Drummoyne is seeking an experienced Medical Secretary / Practice Administrator to join our specialist ENT team.

This role offers part-time or full-time hours in a busy practice, with diverse duties from clinic bookings and billing to patient communications, records management and inter-department coordination across locations.

Qualifications

  • At least 2–3 years of medical administration or medical secretarial experience.
  • Previous experience in a specialist or surgical medical practice.
  • Experience with appointment management, billing and patient administration.
  • Experience coordinating surgical or theatre bookings — desirable.
  • Familiarity with Genie practice management software — strongly preferred.
  • Experience with Xero or similar accounting software — advantageous.
  • ENT experience — advantageous but not essential.
  • Applicants with strong experience using another specialist medical practice management system are also encouraged to apply.

Medical Secretary / Practice Administrator – Specialist ENT Practice

Part-time or Full-time
Locations: Green Square, St Leonards and Drummoyne, Sydney

Sydney ENT Specilists are an established specialist ENT and laryngology practice providing high-quality care across three Sydney locations.

We are looking for an experienced Medical Secretary / Practice Administrator to join our established administrative team.

This is not an entry-level reception role. We are looking for someone with solid experience in medical administration who can work confidently and independently, manage day-to-day responsibilities with minimal supervision, and contribute positively to a small, busy specialist practice.

You will work alongside our Practice Manager, Senior Administrator and junior administrative staff, supporting our ENT surgeons and helping ensure the smooth running of clinics across multiple locations.

About you

We are looking for someone who already understands the demands of working in a busy medical practice and can contribute from the outset.

You will ideally be:

  • Experienced in medical reception, medical secretarial or specialist practice administration
  • Organised, dependable and attentive to detail
  • Comfortable working independently and using initiative
  • Able to prioritise competing demands in a busy clinic
  • Confident communicating with patients, doctors, hospitals and other healthcare providers
  • Professional, approachable and calm under pressure
  • Comfortable working as part of a small team
  • Willing to take ownership of tasks and follow problems through to completion

Experience

Ideally you will have:

The role

We are open to either part-time or full-time employment for the right person.

This role would suit an experienced medical administrator who does not necessarily want a management position but is looking for a stable, interesting role with greater responsibility than a standard reception position.

You will be joining an established team with experienced administrative support already in place, while still having the autonomy to manage your own responsibilities.

There is scope for the role to develop over time according to your experience, strengths and interests as the practice continues to grow.
