Job summary

NSW Department of Communities and Justice in Parramatta is seeking a Project Support Officer to assist the Program Delivery, Infrastructure & Assets team with project coordination and governance across a portfolio of initiatives.

You will work closely with project managers and stakeholders, handling administrative tasks, document control, and reporting to enable efficient delivery of infrastructure and workplace projects.

Qualifications

• Experience providing project and administrative support within a project, program or infrastructure and asset delivery environment.
• Strong organisational skills to manage competing priorities, maintain accurate records and meet deadlines.
• Well-developed communication and stakeholder engagement skills, with the ability to prepare documentation and coordinate information across diverse groups.
• Experience supporting project governance and reporting activities, including meeting coordination, action tracking and document management.
• Understanding of delivery project controls, governance and assurance.
• Proficiency in Microsoft Office and corporate systems, with the ability to quickly learn new tools and processes.

Responsibilities

• Provide project coordination and administrative support to Project Managers and the broader Program Delivery team.
• Coordinate and maintain project records, filing systems and document controls to ensure compliance with organisational record-keeping requirements.
• Draft reports, briefing notes, presentations and other project materials.
• Support project financial administration, including purchase orders, invoices and budget tracking.
• Coordinate governance activities, including meeting management, reporting schedules, governance forums, record minutes, action tracking and reporting requirements.
• Liaise with stakeholders, consultants, contractors and service providers to coordinate information, procurement activities and support project delivery outcomes.
• Administer and maintain project schedules, risk registers, issues logs and action trackers.
• Support project scheduling, milestone tracking, project controls and performance reporting activities.
• Coordinate procurement and contract administration activities in accordance with departmental requirements.
• Respond to project enquiries and coordinate requests for information.
• Contribute to project governance, reporting and continuous improvement activities across the portfolio.
