EST10 Recruitment seeks an exceptionally organized Executive Assistant to support the Chief of Staff in Sydney, Australia. You will own the diary, prioritise competing requests, and coordinate domestic and international travel with precision, ensuring seamless itineraries and proactive scheduling.

You will build strong relationships with senior leaders and external stakeholders, ensuring meetings have the right information and context, and you’ll provide personal support to keep daily life

Responsibilities

  • Take charge of a diary that rarely stands still, prioritising effectively for the Chief of Staff.
  • Connect the dots across meetings and commitments, identifying what needs chasing next.
  • Coordinate domestic and international travel end-to-end, travelling with the Chief of Staff as needed.
  • Build strong relationships across the business, becoming a trusted point of contact for leaders and stakeholders.
  • Prepare the Chief of Staff for important meetings with the right information and context.
  • Around 40% of the role involves personal support, including household management and personal travel.

  • You’ve got great instincts! You know when to chase, when to remind, when to push back, and when something simply needs to be handled without making a fuss

  • Take charge of a diary that rarely stands still, making smart calls on priorities and ensuring the Chief of Staff’s time is used well
  • Connect the dots across meetings, conversations, and commitments, knowing what needs chasing and what needs to happen next
  • Coordinate domestic and international travel end-to-end, creating seamless itineraries and travelling internationally alongside the Chief of Staff on occasion
  • Build strong relationships across the business, becoming a trusted point of contact for senior leaders, teams, and external stakeholders
  • Make sure the Chief of Staff walks into every important meeting ready to go, with the right information, context, and preparation
  • Around 40% of your role will be dedicated to personal support, taking ownership of everything from household management and appointments to personal travel, bookings, and the day-to-day details that keep life running smoothly
