Coates Hire Operations Pty Limited in Ballarat is seeking a Customer Service Coordinator to join our busy branch. This fast-paced, hands-on role links customers with sales, drivers and operations to deliver equipment safely, efficiently and on time.

You will handle customer inquiries by phone, email and face-to-face, process hire requests, coordinate deliveries and returns, and assist with branch administration and KPI targets.

Qualifications

• Previous customer service, administration, retail, logistics, or coordination experience.
• Strong communication and relationship-building skills.
• Ability to manage competing priorities in a fast-paced environment.
• Excellent problem-solving and organisational skills.
• Confidence dealing with a diverse range of customers, including challenging situations.
• Strong attention to detail and accuracy.
• Ability to work independently once trained.
• A proactive and team-focused approach.
• A current driver's licence is essential.

Responsibilities

• Deliver outstanding customer service via phone, email, and face-to-face interactions.
• Process customer hire requests accurately and efficiently.
• Coordinate equipment deliveries, pickups, transfers, changeovers, and breakdowns.
• Work closely with branch teams, drivers, sales representatives, and other Coates locations to meet customer needs.
• Source equipment and identify the best solutions for customer requirements.
• Generate hire schedules, invoices, purchase orders, and other branch documentation.
• Assist with stocktake activities and general branch administration.
• Support branch KPI achievement relating to safety, customer experience, and revenue.
• Resolve customer enquiries and complaints professionally and efficiently.
• Assist with equipment run-ups, small deliveries, spotting, and other operational support activities where required.
• Maintain a clean, organised, and safe workplace while contributing to Coates' Safety First culture.
