Job summary

Food FX Australia Pty Ltd is seeking a detail-oriented and organised Dispatch Administrator to join our Finished Goods Warehouse & Distribution team on a full-time basis. Based in Thomastown VIC 3074, this role is pivotal in ensuring the smooth coordination and timely dispatch of goods from our facility and 3PL. As Dispatch Administrator, you will be responsible for managing dispatch operations, maintaining accurate records, and liaising between warehouse teams and customer service to ensure efficient order fulfilment and delivery. This position plays a crucial role in maintaining our reputation for reliability and customer satisfaction in the food manufacturing sector.

Key responsibilities

• Coordinating and managing the dispatch of goods, ensuring accurate order picking and loading procedures
• Processing dispatch documentation and maintaining comprehensive records of all shipments
• Liaising with warehouse teams, drivers and customers to confirm delivery schedules and address any dispatch-related queries
• Monitoring inventory levels and alerting management to stock shortages or discrepancies
• Preparing delivery dockets, bills of lading and other shipping documentation
• Tracking shipments and providing customers with accurate delivery updates and proof of delivery information
• Ensuring compliance with safety regulations and standard operating procedures within the dispatch area
• Utilising warehouse management systems (WMS) and other relevant software to record and track dispatch activities
• Resolving dispatch-related issues and escalating problems to management when necessary
• Contributing to continuous improvement initiatives to optimise dispatch efficiency and reduce operational costs

What we're looking for

• Proven experience in a dispatch, warehouse administration or similar logistics role, ideally within the food or fast-moving consumer goods sector
• Strong proficiency with warehouse management systems (WMS) and Microsoft Office applications
• Excellent organisational and time management skills with the ability to prioritise multiple tasks in a fast-paced environment
• Outstanding attention to detail and accuracy, particularly when processing documentation and managing inventory records
• Strong communication and interpersonal skills to effectively collaborate with warehouse staff, drivers and customers
• Problem-solving ability and a proactive approach to identifying and resolving operational challenges
• Knowledge of health and safety standards relevant to warehousing and logistics operations
• Ability to work independently and as part of a team in a dynamic warehouse environment
• A valid driver's licence is desirable
