Seascape Dental is seeking an experienced Dental Receptionist/Front Office to join our The Entrance team. This full-time role focuses on delivering exceptional patient service and maintaining smooth daily operations at our NSW practice.

You will manage reception, scheduling, records, payments and inquiries while upholding privacy and safety standards, with a friendly, professional approach.

Qualifications

  • Experience in a dental practice reception or similar healthcare setting
  • Excellent interpersonal and communication skills with patients, staff and external contacts
  • Proficiency with dental practice management software and MS Office
  • Strong organisational skills to manage multiple tasks in a fast-paced environment
  • Attention to detail and accuracy in record-keeping
  • Maintain patient confidentiality and comply with privacy laws
  • Friendly, patient-focused approach with empathy
  • Reliable, punctual and dedicated to high-quality customer service
  • Preferred: dental reception certification or related admin qualification
  • Preferred: knowledge of dental terminology and procedures

Responsibilities

  • Greet patients and manage reception area to keep a clean, welcoming environment
  • Schedule and confirm appointments using dental software
  • Collect patient information and maintain accurate records per privacy rules
  • Process payments, invoicing and manage patient accounts securely
  • Handle inquiries via phone, email and in person
  • Coordinate with dentists and staff to ensure smooth patient flow
  • Send appointment reminders and follow-ups to reduce no-shows
  • Perform general admin duties including data entry and filing
  • Maintain confidentiality and health and safety standards
  • Assist with reception tasks such as ordering supplies and inventory

Job description

Seascape Dental is seeking an experienced and personable Dental Receptionist/Front Office professional to join our welcoming team in The Entrance, NSW. This is a full-time position that plays a vital role in creating a positive first impression for our patients and ensuring the smooth day-to-day operations of our dental practice. As the front-facing representative of our practice, you will be instrumental in delivering exceptional customer service whilst managing administrative duties with efficiency and professionalism.

Key responsibilities
  • Greeting patients warmly upon arrival and managing the reception area to maintain a clean, organised and welcoming environment
  • Scheduling and confirming patient appointments using dental practice management software
  • Collecting patient information and maintaining accurate dental records in compliance with privacy legislation
  • Processing payments, invoicing and managing patient accounts with accuracy and confidentiality
  • Handling patient enquiries via telephone, email and in person with professionalism and courtesy
  • Coordinating with dental practitioners and support staff to ensure efficient patient flow throughout the day
  • Managing appointment reminders and follow-up communications to reduce no-shows
  • Performing general administrative duties including data entry, filing and correspondence
  • Maintaining confidentiality and adhering to health and safety protocols at all times
  • Assisting with reception tasks such as ordering supplies and managing inventory as required
What we're looking for
  • Proven experience working in a dental practice reception environment or similar healthcare setting
  • Excellent interpersonal and communication skills with the ability to interact professionally with patients, staff and external contacts
  • Proficiency with dental practice management software and general computer applications (Microsoft Office)
  • Strong organisational skills with the ability to manage multiple tasks and priorities in a fast-paced environment
  • Attention to detail and accuracy in record-keeping and data entry
  • Ability to maintain patient confidentiality and comply with privacy legislation including the Privacy Act
  • A friendly, patient-focused approach with genuine empathy and emotional intelligence
  • Reliable, punctual and committed to delivering high-quality customer service
  • Preferred: Certification in dental reception or a related administrative qualification
  • Preferred: Knowledge of dental terminology and treatment procedures
