Mitchell Morley Employees – Sydney North Shore NSW
Our client is a well-established Australian medical technology business supplying products used in surgery. It’s a purposeful environment where the work of the coordination team plays an important role in supporting patients and their procedures. With continued investment in its people and systems, this is an opportunity to join a close-knit team in a growing business.
You’ll join the bookings team as the first point of contact for hospitals and surgeons’ rooms, coordinating surgical bookings from the initial enquiry through to the day of the procedure. Your day will involve taking bookings by phone and email, accurately entering details into the system, confirming stock availability with hospitals, allocating products to patients and providing written booking confirmations. You’ll coordinate with internal dispatch teams and hospital staff to ensure the right products arrive at the right place and time, manage temperature-sensitive transport requirements, arrange returns of unused products and work closely with the clinical care team on post-procedure follow-up. The phones are busy and the work is time-critical. You could be speaking with a hospital team while a patient is already in theatre and a surgeon needs an immediate answer. You’ll need to stay calm, think on your feet and take ownership of getting things sorted. Rostered shifts fall between 7:30am and 6:30pm, with the initial shift being 9:30am to 5:30pm. Training is hands-on from day one, working alongside an experienced coordinator and the wider team.
You’re someone who brings a genuine sense of urgency to your work. You pick up the phone rather than send an email and wait, and you’re confident managing competing priorities while keeping the details right. You’re organised, accurate and proactive, with the ability to follow tasks through to completion. You communicate clearly and warmly with hospital staff, surgeons’ rooms and colleagues, and you’re comfortable making decisions, asking questions and learning as you go in a busy, evolving environment.
Experience in hospital administration, theatre scheduling, medical devices or allied health would be valuable, but it’s not essential. What matters most is your urgency, phone confidence, attention to detail and willingness to take ownership.
