Job summary

Wärtsilä in Sydney seeks a proactive Coordinator, Parts Coordination Management to manage customer quotations and orders, coordinate spare parts deliveries and support sales activities. You will ensure timely, accurate service and high customer satisfaction.

The role involves collaboration with Sales and Supply Chain teams, knowledge of spare parts processes, and off-hour support as needed to maintain service levels and build lasting customer relationships.

Qualifications

• Bachelor's degree or equivalent qualification in any discipline.
• Minimum 3 years of experience in Supply Chain, Order Management, Aftersales Spare Parts, Logistics or related field.
• Professional certification in Supply Chain Management or Logistics is a plus.
• Previous customer-facing experience in industrial/marine sectors is highly regarded.

Responsibilities

• Handle and coordinate customer quotations and orders in line with company procedures and local requirements.
• Ensure high quality and responsiveness in processing quotations and orders.
• Prepare and maintain accurate spare parts sales documentation.
• Monitor and follow up the order book to ensure timely processing and delivery.
• Liaise with the Sales team on quotation content, pricing and terms.
• Communicate parts delivery information to customers promptly and professionally.
• Coordinate with Supply Chain teams to ensure deliveries follow agreed processes.
• Develop knowledge of customer-specific solutions, products and requirements.
• Provide off-hour support for spare parts services as required (24-hour service).
• Share expertise within the team and support knowledge transfer.
• Resolve escalations using internal networks and subject matter experts.
• Build and maintain strong customer relationships and gather feedback.

We are looking for a proactive and customer-focused professional to join our team as a Coordinator, Parts Coordination Management. In this role, you will be responsible for managing customer quotations and orders, coordinating spare parts deliveries, supporting sales activities, and ensuring a high level of customer satisfaction through timely and accurate service.

Key Responsibilities

• Handle and coordinate customer quotations and orders in accordance with company procedures, guidelines, and local requirements.
• Ensure the highest level of quality and responsiveness in processing quotations and orders.
• Prepare and maintain accurate spare parts sales documentation.
• Monitor and actively follow up on the order book to ensure timely processing and delivery.
• Liaise with the Sales team regarding the content, pricing, and terms of quotations and offerings.
• Communicate parts delivery information to customers in a timely and professional manner.
• Coordinate with Supply Chain teams to ensure deliveries are executed according to agreed processes.
• Develop and maintain knowledge of customer-specific solutions, products, and requirements.
• Provide off-hour support for spare parts services as required (24-hour service support).
• Take ownership of assigned areas of expertise and support knowledge sharing within the team.
• Utilize internal networks and subject matter experts to resolve and escalations when required.
• Build and maintain strong customer relationships while gathering valuable customer feedback.
• Follow established ways of working and operational procedures introduced during training.
• Contribute positively to the company's reputation through professional and customer-centric service delivery.

Qualifications And Experience

• Bachelor's degree or equivalent qualification in any discipline.
• Minimum 3 years of experience in Supply Chain, Order Management, Aftersales Spare Parts, Logistics, or a related field.
• Professional certification in Supply Chain Management or Logistics will be considered an advantage.
• Previous experience in customer-facing roles within industrial, manufacturing, marine, energy, or related sectors will be highly regarded.
