Job summary

Wärtsilä in Sydney seeks a proactive Coordinator, Parts Coordination Management to manage quotations and orders, coordinate spare parts deliveries, and support sales activities. The role requires a bachelor’s degree and 3+ years in supply chain or related fields, with English fluency and knowledge of Incoterms.

Qualifications

• Bachelor's degree or equivalent qualification in any discipline.
• Minimum 3 years of experience in Supply Chain, Order Management, Aftersales Spare Parts, Logistics or related field.
• Professional certification in Supply Chain or Logistics is a plus.
• Experience in customer-facing roles within industrial, manufacturing, marine, energy or related sectors is valued.

Responsibilities

• Handle and coordinate customer quotations and orders following procedures and local requirements.
• Ensure high quality and responsiveness in quotations and orders processing.
• Prepare and maintain spare parts sales documentation.
• Monitor the order book to ensure timely processing and delivery.
• Liaise with Sales on quotations content, pricing, and terms.
• Communicate parts delivery information to customers in a timely, professional manner.

We are looking for a proactive and customer-focused professional to join our team as aCoordinator, Parts Coordination Management. In this role, you will be responsible for managing customer quotations and orders, coordinating spare parts deliveries, supporting sales activities, and ensuring a high level of customer satisfaction through timely and accurate service.

Key Responsibilities

• Handle and coordinate customer quotations and orders in accordance with company procedures, guidelines, and local requirements.
• Ensure the highest level of quality and responsiveness in processing quotations and orders.
• Prepare and maintain accurate spare parts sales documentation.
• Monitor and actively follow up on the order book to ensure timely processing and delivery.
• Liaise with the Sales team regarding the content, pricing, and terms of quotations and offerings.
• Communicate parts delivery information to customers in a timely and professional manner.
• Coordinate with Supply Chain teams to ensure deliveries are executed according to agreed processes.
• Develop and maintain knowledge of customer-specific solutions, products, and requirements.
• Provide off-hour support for spare parts services as required (24-hour service support).
• Take ownership of assigned areas of expertise and support knowledge sharing within the team.
• Utilize internal networks and subject matter experts to resolve and elevate issues when required.
• Build and maintain strong customer relationships while gathering valuable customer feedback.
• Follow established ways of working and operational procedures introduced during training.
• Contribute positively to the company's reputation through professional and customer-centric service delivery.

Qualifications and Experience

• Bachelor's degree or equivalent qualification in any discipline.
• Minimum 3 years of experience in Supply Chain, Order Management, Aftersales Spare Parts, Logistics, or a related field.
• Professional certification in Supply Chain Management or Logistics will be considered an advantage.
• Previous experience in customer-facing roles within industrial, manufacturing, marine, energy, or related sectors will be highly regarded.
