Job summary

CarFinderSelect in Brisbane is seeking a Contracts Administration professional to join our growing team. This full-time role is based in Brisbane, QLD 4000 and focuses on managing contracts across our automotive acquisition operations.

You will handle end-to-end contract lifecycle, maintain databases, liaise with sales and legal, monitor milestones, and ensure regulatory compliance, supporting our sales and client teams to deliver exceptional service.

Qualifications

• Experience in contracts administration or similar client and sales admin role, ideally in automotive finance or financial services.
• Strong knowledge of contract management principles, procedures and best practices.
• Excellent organisational skills with ability to manage multiple contracts and deadlines.

Responsibilities

• Manage full lifecycle of contracts: preparation, review, execution, filing to ensure accuracy and compliance.
• Maintain contract databases and filing systems, ensuring documentation is organised and up to date.
• Liaise between sales, legal, and client teams to facilitate timely negotiations and resolutions.
• Monitor deadlines, renewals and milestones, providing timely notifications to stakeholders.
• Process amendments and variations with proper approvals and documentation.
• Ensure all contracts comply with regulatory requirements and company policies.
• Support sales admin with contract-related queries and tasks.
• Prepare reports on contract status and key metrics for management.
• Identify and escalate potential issues or risks related to contracts.

In this role, you will play a critical part in ensuring smooth contract management processes, maintaining compliance, and supporting our sales and client teams to deliver exceptional service. Key responsibilities

• Manage the full lifecycle of contracts, including preparation, review, execution, and filing to ensure accuracy and compliance

• Liaise between sales, legal, and client teams to facilitate timely contract negotiations and resolutions
• Monitor contract deadlines, renewal dates and key milestones, providing timely notifications to relevant stakeholders
• Process contract amendments and variations with appropriate approvals and documentation
• Ensure all contracts comply with regulatory requirements and company policies
• Support the sales administration team with contract-related queries and administrative tasks
• Prepare regular reports on contract status, outstanding items and key metrics for management review
• Identify and escalation potential issues or risks related to contracts promptly

What we're looking for

• Proven experience in contracts administration or a similar client and sales administration role, ideally within the automotive finance or financial services sector
• Strong knowledge of contract management principles, procedures and best practices
• Excellent organisational skills with the ability to manage multiple contracts and deadlines simultaneously
• Proficiency in Microsoft Office suite, particularly Excel and Word, with experience in contract management systems or databases
• Meticulous attention to detail and accuracy when handling legal and financial documentation
• Strong communication skills, both written and verbal, with the ability to liaise effectively with internal and external stakeholders
• Understanding of compliance requirements relevant to automotive finance and contracts
• Problem-solving mindset with the ability to work independently and as part of a team
• A professional approach to confidential information and client data
• Relevant qualifications in business administration, legal administration or equivalent experience would be advantageous
