A position is available for a friendly, warm and organised Casual Receptionist to join our boutique psychology and gastroenterology clinic in Strathfield.
We are a small, welcoming clinic with three psychologists and one gastroenterologist, and we pride ourselves on providing a warm, professional and supportive environment for both our clients and our team.
Healthy Gut & Mind is a boutique multidisciplinary clinic providing psychology and gastroenterology services in a warm, welcoming and professional environment.
We have three psychologists and one gastroenterologist, with different health professionals working from the clinic throughout the week. This means the clinic environment is varied, interesting and people-focused, with different professionals and clients coming through the practice on different days.
We are a small team and value kindness, professionalism, teamwork and good communication.
We are looking for someone who is warm, welcoming, organised and confident, with the ability to multitask and manage a busy reception environment while maintaining a calm and friendly manner.
The position is currently available 2 days per week:
Tuesday: 8:00am – 3:00pm
There may be opportunities for additional hours in the future.
We are looking for someone who:
Has a warm, friendly and inviting personality.
Enjoys working with people and providing excellent customer service.
Is organised, reliable and punctual.
Can confidently multitask and manage competing priorities.
Has excellent communication and interpersonal skills.
Is professional, approachable and compassionate when dealing with clients.
Is comfortable answering phones, responding to emails and managing appointments.
Can work independently while also being a supportive member of our small team.
Is willing to learn new systems and administrative processes.
Previous medical, allied health, psychology or specialist reception experience is desirable, but we are also happy to consider someone with strong customer service and administrative experience who is keen to learn.
The role will include:
Welcoming clients and patients to the clinic.
Answering telephone and email enquiries.
Making and confirming appointments.
Managing psychologist and gastroenterologist diaries.
Coordinating appointments across our three clinic locations.
Conducting psychology intake and allocating new clients to the appropriate psychologist.
Processing Medicare, Workers Compensation, CTP and NDIS billing.
Processing payments and invoices.
Using Shexie, Microsoft Outlook and other clinic systems.
Providing administrative support to our psychologists and gastroenterologist.
General reception and light clinic housekeeping duties.
Paid training will be provided during the first two weeks to ensure you are fully supported in learning the role, our systems and our clinic procedures.
Training will include:
Shexie and practice management systems
Appointment scheduling and diary management
Psychology intake procedures
Medicare and other billing processes
Workers Compensation, CTP and NDIS administration
Clinic procedures and day-to-day reception responsibilities
As the role involves learning a number of systems and processes, availability for additional days during the two-week training period is highly advantageous.
Ideally, we would like the successful applicant to be available for 3–4 days per week during the training period, where possible, to allow for consistent training and a smooth transition into the role.
You will be supported throughout the training period and will have the opportunity to gradually build confidence with the role before working independently.
We are a boutique, friendly and supportive clinic where we value professionalism, kindness and a positive team environment.
Because different psychologists and medical professionals work from the clinic throughout the week, the role offers variety and interaction with different professionals and clients, rather than being the same routine every day.
If you are someone who is warm, personable, organised and enjoys a varied role we would love to hear from you.
