Job summary

Pillar FM is seeking a full-time Building Manager to oversee a portfolio of residential strata buildings in and around Sydney. A supportive admin/compliance team backs the role as you ensure smooth building operations and regulatory compliance.

You will manage service contracts, budgets, and vendor relationships, while coordinating with Strata Managers and Owners Corporations to maintain high standards across common areas.

Qualifications

• 5–10 years' experience managing small to medium residential and commercial buildings.
• Experience dealing with Owners Corporations & Strata Managers.
• Solid understanding of strata legislation, compliance and by-laws.
• Ability to prioritise competing demands and respond to urgent issues.
• Experience with platforms such as MYBOS and BuildingLink.

Responsibilities

• Provide a 24-hour emergency call-out service on a 365-day basis.
• Coordinate with Strata Manager and owner, report requested information.
• Monitor compliance with rules and by-laws and report non-compliance.
• Review and approve invoices for service contracts and payments.
• Prepare annual budgets for service contracts for common areas.
• Attend owner meetings related to building operations.
• Develop scopes of works and contract documents for tenders.
• Tender service contracts and obtain owner approval to enter contracts.
• Supervise service contracts to ensure performance as per contracts.
• Operate the Building Management System (BMS) and control HVAC, lighting, fire, etc.
• Provide technical support on building management issues to the owner.
• Conduct periodic maintenance inspections of services, plant and equipment.
• Maintain stock of spare parts for services and equipment.
• Maintain up-to-date drawings of plant and services.
• Arrange building inspections and reports.
• Arrange repairs and engage qualified tradespersons.
• Engage tradespeople for non-standard work and ensure compliance.
• Carry out regulatory compliance and manage defect processes.

Job description

We are looking for a candidate to fill a full-time Building Management position. The role involves looking after a small portfolio of mostly residential strata buildings in and around the Sydney CBD and metro area. We have an admin and compliance team supporting the role. We work best together as a team! If you have experience in Building Management we would love to hear from you!

Key responsibilities

• Provide a 24-hour emergency call out service on a 365-day per year basis
• Maintain a close working relationship with any Strata Manager for the building and provide information requested by the Strata Manager
• Monitor compliance with any rules or by-laws for the building by owners and occupiers and report any non-compliance to Strata Manager, or the owner (if there is no Strata Manager)
• Review and approve, where appropriate, invoices before issuing them to the Strata Manager, or the owner (if there is no Strata Manager) for payment
• Prepare and provide to the Strata Manager, or the owner (if there is no Strata Manager), an annual budget for service contracts for the common areas
• Attend meetings of the owner that relate to the operation of the building
• Develop appropriate scopes of works and contract documentation to allow service contracts to be tendered for the common areas of the building
• Tender the service contracts as required and make recommendations to and obtain approval from the owner to enter into the service contracts
• Supervise the service contracts to ensure that they are performed to the levels and for the frequencies as set out in the individual service contract
• Operate the BMS (Building Management System), where one is in place, to control HVAC, lighting, fire, electrical etc systems
• Provide technical support where within the competence and skill of the building manager and advice on building management issues to the owner
• Conduct periodic maintenance inspections of services, plant and equipment in the common areas of the building
• Keep and monitor the stock of necessary spare parts for services, plant and equipment in the common areas of the building
• Maintain up to date drawings of plant and services provided by the owner
• Arrange building inspections and reports
• Effect repairs and maintain common property or engage appropriately qualified tradespersons
• Engage appropriately qualified tradespeople to do non-standard work
• Carry out regulatory compliance
• Manage the building defect process

About you
