Job summary

HWLE Lawyers is seeking an Events Coordinator to join our growing marketing team in Melbourne. You will support end-to-end event management, coordinate with stakeholders, and help deliver high-quality experiences from concept through post-event analysis.

Reporting to the National Events Manager, you will handle budgets, vendor negotiations, timelines and on-site delivery, ensuring seamless guest experiences and strong cross-functional collaboration across a professional services environment.

Qualifications

• Minimum of three years’ experience in B2B events.
• Experience in events within professional services preferred.
• Exceptional attention to detail and proactive mindset.
• Strong organizational and time-management skills.
• Ability to build trust and strong working relationships.
• Well-developed critical thinking.
• Proven experience managing multiple timelines and stakeholders.
• Experience managing event budgets.
• Experience delivering a high volume of events.
• Proficiency in Microsoft programs.
• Comfort with various technology platforms for events.
• Commitment to delivering exceptional event experiences with flexibility.

Responsibilities

• planning, coordinating, and delivering events from concept through to on-site execution and post-event reporting and analysis;
• managing event timelines, checklists, briefs, invitations, run sheets, and workflows to ensure all milestones and deadlines are met;
• preparing event budgets, and securing vendors from procurement through to contract;
• liaising with venues and suppliers, including negotiating rates and managing event logistics;
• leading on-the-day delivery to ensure a seamless guest experience;
• managing event communications and enquiries, ensuring stakeholders are aligned on expectations and deliverables.
