Job summary

MannaCare Inc in Melbourne is seeking an experienced Admissions Coordinator to join the Residential Services team on a permanent full-time basis. Reporting directly to the Executive Director Residential Services, this role coordinates the resident admissions journey across Cassia House (90 beds) and Doncaster Melaleuca Lodge (DML) (60 beds), totaling 150 beds.

You will be the primary contact for prospective residents, families, referral partners and internal teams.

Qualifications

• Previous experience in aged care admissions, administration, customer service or a similar role.
• Understanding of residential aged care admission processes, fees and charges.
• Excellent organisation skills with strong attention to detail and accuracy.
• Ability to manage competing priorities and work autonomously.
• Strong communication and relationship-building skills.
• Confident using computer systems and maintaining accurate records.

Responsibilities

• Manage resident enquiries from initial contact through to admission, providing a positive and seamless experience for residents and families.
• Conduct tours, interviews and meetings with prospective residents and representatives.
• Coordinate admissions, including documentation, agreements, fees, accommodation payments and admission requirements.
• Work collaboratively with Care Managers, Unit Managers and administration teams to ensure smooth resident transitions.
• Build and maintain strong relationships with referral partners including hospitals, GP clinics and community groups.
• Maintain accurate admission, enquiry and respite records and provide reports as required.
• Identify opportunities to improve enquiry conversion, occupancy outcomes and resident experience.
