Role purpose

Provide high quality and professional customer service to students, clients and all other visitors or guests of IDP offices. Assist in maintaining effective administrative and office systems to ensure the smooth running of the office operations. Provide comprehensive administrative support to IDP staff with a strong focus on quality and accuracy.

Key Accountabilities

Customer Service

  1. Welcome visitors and guests in a friendly and professional manner and direct them to appropriate IDP staff.
  2. Register walk-in and call-in students on IDP’s Client Relation Management (CRM) system and assign these contacts to counsellors.
  3. Answer all incoming calls from the main office contact number and redirect them to IDP staff as required.
  4. Monitor the generic office email account and distribute messages received to appropriate staff or other offices as needed.
Operations Support

  1. Support counselors in submitting university applications.
  2. Respond to student queries on the phone or WhatsApp.
  3. Assist in the planning and preparation of meetings, conferences, and conference telephone calls.
  4. Prepare and maintain marketing and other materials required for conferences or events.
Administration

  1. Maintain updated copies of procedures manuals, forms, and templates for use in the office.
  2. Arrange outgoing courier and mail pickups.
  3. Assist with other administrative support tasks as directed by the IELTS Test Center Administrator or Office Manager.
