Responsibilities

  • Take ownership of the CEO’s calendar, coordinate meetings, appointments, interviews, and business commitments with discipline and efficiency
  • Coordinate with CEO, direct reports, senior leadership and stakeholders; track actions, deadlines and approvals and follow up
  • Arrange complex domestic and international travel, itineraries and logistics with contingency planning
  • Handle confidential matters with discretion in a fast-paced, demanding environment

Job Description:
  • Take full ownership of the CEO’s highly demanding and constantly evolving calendar, coordinating back-to-back meetings, executive appointments, interviews, business commitments, and last-minute changes. Anticipate conflicts, assess priorities, reorganize schedules quickly, and ensure the CEO’s time is managed with exceptional discipline and efficiency.
  • Serve as a key coordination point between the CEO, direct reports, senior leadership, and other key stakeholders. Track critical action items, decisions, deadlines, approvals, and outstanding matters, proactively following up to ensure commitments are completed accurately and on time without requiring constant direction.
  • Independently coordinate complex domestic and international travel arrangements, detailed itineraries, executive meetings, interviews, and related logistics. Anticipate requirements in advance, prepare for contingencies, and respond immediately to schedule or business changes while maintaining complete accuracy and organization.
  • Operate as a highly trusted extension of the CEO in an extremely fast-paced and demanding environment. Handle confidential and sensitive matters with absolute discretion, manage multiple urgent priorities simultaneously, exercise sound judgment, and remain calm, professional, responsive, and solutions-focused under pressure. This role requires exceptional resilience, flexibility, attention to detail, and the ability to consistently stay several steps ahead.
Qualifications:
  • Proven experience as an Executive Secretary, Executive Assistant, or Personal Assistant for more than 10 years; Directly supporting a Chairman, Owner, CEO, or C-suite executive, preferably within a large and fast-paced organization.
  • Demonstrated expertise in managing high-volume, complex, and constantly changing executive calendars, competing priorities, urgent requests, and last-minute changes with minimal supervision; with Exceptional organization, prioritization, follow-up, and problem-solving skills, with the ability to stay several steps ahead and ensure critical actions and deadlines are completed.
  • Highly professional, discreet, resilient, and composed under pressure, with excellent judgment and confidence when dealing with senior management, VIPs, and key stakeholders.
  • Excellent English communication and Microsoft Office skills, with a high level of flexibility and willingness to support demanding business requirements, including extended hours or weekends when required.
