Jams HR Solutions seeks a Sales Coordinator to act as the operational bridge between the sales team, warehouses, 3PL partners and key B2B accounts. You will handle end-to-end sales order processing, dispatch planning, and daily logistics follow-up to ensure on-time delivery and accurate inventory.
Key duties include PO validation, maintaining SOs and delivery notes in ERP, FEFO/FIFO stock control, coordinating with freight carriers, and OTIF reporting.
Role Overview
The Sales Coordinator acts as the operational bridge connecting the commercial sales team, central warehouses, 3PL logistics partners, and B2B clients (distributors, modern trade, and key accounts). This role is responsible for end-to-end sales order processing, dispatch planning, daily logistics follow-up, and inventory tracking (including FIFO/FEFO stock rotation) to ensure high on-time delivery rates and minimal stockouts.
Key Responsibilities
1. Sales Order Processing & Account Support
Receive, review, and validate customer purchase orders (POs) against contractual terms, active price sheets, promotional discounts, and credit limits.
Generate and maintain accurate Sales Orders (SO), pick requests, proforma invoices, and delivery notes in the ERP system.
Act as the daily operational point of contact for field sales representatives and key accounts regarding order tracking, product availability, and delivery schedules.
Process customer return requests, short deliveries, and transit damage reports; coordinate with finance to issue relevant credit/debit notes.
2. Inventory Coordination & Stock Monitoring
Review real-time SKU stock levels across regional distribution centers and warehouses prior to order confirmation.
Manage stock reservations and allocations across competing channels to prevent out-of-stock penalties with key accounts.
Enforce FEFO (First Expired, First Out) and FIFO (First In, First Out) handling guidelines to minimize expired or unsellable inventory.
Partner with warehouse teams during periodic physical cycle counts, identifying and reconciling inventory variances against ERP records.
Identify slow-moving, obsolete, and near-expiry goods (SLOB) and escalates them to sales management for clearance actions.
3. Dispatch, Transport & Logistics Coordination
Coordinate daily with warehouse shipping supervisors and external freight/3PL carriers to schedule pickups and allocate transport capacity.
Prepare, cross-check, and distribute required dispatch paperwork, including commercial invoices, packing lists, delivery manifests, and transport permits.
Monitor live shipments, identify route bottlenecks or delivery delays, and proactively alert account managers and customers.
Follow up on signed Proof of Delivery (POD) documents, ensuring timely return and archiving for invoice reconciliation.
4. Operational Reporting & Cross-Department Alignment
Track and report daily order fulfillment metrics, backorders, and OTIF (On-Time, In-Full) performance.
Provide historical stock movement and pending-order data to procurement and demand planning teams to support replenishment planning.
Desired Candidate Profile
Education: Bachelor’s degree in Business Administration, Supply Chain Management, Logistics, Commerce, or a related discipline.
Experience: 2–4 years in sales coordination, supply chain support, or inventory/logistics coordination within the FMCG or consumer goods sector.
Systems & Tools: Hands-on proficiency with ERP platforms (such as SAP SD/MM, Oracle, Microsoft Dynamics) and intermediate to advanced MS Excel (Pivot Tables, VLOOKUP/XLOOKUP).
Skills: Strong organizational and multi-tasking skills, commercial acumen, effective verbal and written communication, and problem-solving skills under tight deadlines.
