Job summary

Al Khayyat Investments (AKI) is hiring a Purchase Executive who can turn a marketing brief into a delivered result. Working through Coupa, you will source top UAE suppliers, negotiate the right terms, and drive every requirement from PO to delivery.

You will review requisitions in Coupa, clarify requirements with the requesting division, and coordinate RFQs to obtain complete, comparable offers within timelines. Strong English and UAE-market knowledge are essential.

Qualifications

• Bachelor's degree in Supply Chain, Business Administration, Marketing, Commerce or a related field.
• 3-5 years procurement experience with 2 years UAE market experience.
• Hands-on experience buying marketing services, printing, branding, events or promotional materials.

Responsibilities

• Review purchase requisitions in Coupa and confirm scope, specs, quantities, delivery timelines and documents before sourcing.
• Identify UAE suppliers, issue RFQs/RFPs through Coupa, and obtain complete offers within the required timeline.
• Coordinate technical reviews, samples or site visits with requesting division and ensure technical acceptance.
• Prepare clear commercial comparisons, support negotiations, and document supplier terms for approval.
• Maintain accurate Coupa records of quotations, communications, approvals, negotiation results and procurement savings.
• Follow approved purchase orders with suppliers and divisions, including delivery, GRN, invoice and payment-related coordination.

Key Responsibilities

• Review assigned purchase requisitions in Coupa and confirm that scope, specifications, quantities, delivery timelines and supporting documents are complete before sourcing starts.
• Work with the requesting division to clarify incomplete or unclear requirements and keep requisition status updated in Coupa.
• Identify suitable UAE suppliers, issue RFQs or RFPs through Coupa, and follow up to obtain complete, comparable offers within the required timeline.
• Coordinate technical reviews, samples or site visits with the requesting division. The business or technical owner remains responsible for confirming technical acceptance.
• Prepare clear commercial comparisons, support negotiations, and document the recommended supplier and agreed commercial terms for approval.
• Maintain accurate Coupa records of quotations, communications, approvals, negotiation results and procurement savings.
• Support supplier registration by collecting required documents and coordinating completion of the approved onboarding process.
• Follow approved purchase orders with suppliers and divisions, including delivery, service completion, GRN, invoice and payment-related coordination.
• Escalate delivery, quality, scope or supplier-performance issues to the Procurement Manager and keep relevant stakeholders informed.
• Follow AKI procurement policy, approval limits and confidentiality requirements. Suppliers should start work only after an approved PO is issued, unless an authorised exception is confirmed.

Category Responsibilities

• Source events, exhibitions, activations, branding, signage, printing, promotional items, creative services and related marketing requirements.
• Confirm that briefs include required artwork, dimensions, quantities, locations, material specifications, installation needs and delivery dates before requesting quotations.
• Coordinate design reviews, mock-ups, samples and production approvals with the requesting team and supplier before mass production begins.
• Monitor urgent campaign and event timelines, and raise any sourcing or production risk early so the requesting team can decide on the best path forward.

What You Bring

• Bachelor's degree in Supply Chain, Business Administration, Marketing, Commerce or a related field.
• 3-5 years of procurement experience, ideally including 2 years in the UAE market.
• Hands-on experience buying marketing services, printing, branding, events or promotional materials is strongly preferred.
• Strong written and spoken English, solid UAE supplier knowledge, and comfort working to short delivery timelines.
