Job summary

RINA is recruiting an Operations & Credit Collection Advisor to join our Dubai office in the Middle East and India Marine division. You will manage the full lifecycle of marine survey jobs, handle invoicing and credit collection, and collaborate across commercial, finance and technical teams.

Qualifications

• 3 years of experience in administrative, operational or business support roles.
• Experience in invoicing, contract administration OR credit collection is considered a plus.
• Fluent in English, both written and spoken.
• Good working knowledge of Microsoft Office, particularly Excel and Outlook.
• Familiarity with CRM systems such as Salesforce is considered a plus
• Highly organized and able to manage multiple priorities simultaneously without losing accuracy.
• Self-disciplined and able to work independently, taking ownership of own workload and deadlines.
• Comfortable in a dynamic environment where priorities can change quickly.
• Good communicator with both clients and internal teams.
• Proactive and solution-oriented approach.

Responsibilities

• Manage the full lifecycle of marine survey jobs with accuracy and timeliness.
• Issue and validate invoices, align with contract terms and pricing.
• Address billing inquiries and discrepancies with the commercial support team.
• Monitor receivables and follow up on overdue payments.
• Maintain records of payment status and client correspondence.
• Coordinate with internal teams; escalate critical cases to the line manager.
• Prepare documentation for external recovery agencies when needed.
• Flag accounts at risk and ensure timely internal reporting.
• Handle client communications via the shared mailbox with professionalism.
• Maintain full correspondence history for continuity and traceability.
• Build and maintain client relationships for operational and billing matters.
• Work with commercial, finance and technical teams for seamless service.
• Support the Operational Manager in coordinating the Dubai team.
• Contribute to the implementation of new tools, including CLM platforms.

Mission

As a Senior Operations & Credit Collection Advisor at RINA, you will be at the heart of our marine operations in the Middle East Region, managing the full lifecycle of surveys, supporting contract and invoice management, and playing an active role in credit collection activities.

Key Accountabilities

1. Job & Survey Management

• Manage the full lifecycle of marine survey jobs ensuring accuracy and timeliness at every stage.

2. Invoicing & Billing

• Issue and validate invoices for all assigned jobs, ensuring alignment with contract terms, applicable rates and pricing agreements.
• Address billing inquiries and discrepancies in coordination with the commercial support team where due

3. Credit Collection

• Monitor outstanding receivables and manage structured follow-up with clients on overdue payments.
• Maintain accurate records of payment status and client correspondence.
• Coordinate with internal teams and elevate critical cases to the line manager when required.
• Support the preparation of documentation for external recovery agency when necessary.
• Flag accounts at risk and ensure timely internal reporting.
• Handle incoming and outgoing client communication through the shared team mailbox, ensuring timely and professional responses.
• Maintain full correspondence history to guarantee continuity and traceability.
• Build and maintain professional relationships with clients, acting as a reliable point of contact for operational and billing matters.

5. Cross-functional Collaboration

• Work closely with commercial, finance and technical teams to ensure seamless service delivery.
• Support the Operational Manager in the day-to-day coordination of the Dubai team.
• Contribute actively to the implementation of new tools and systems, including contract lifecycle management platforms.

Education
