Job Description
The Office Manager keeps day-to-day office operations running smoothly. The role covers administrative support, facilities, vendors, budgets and a well-organized, productive workplace for all staff.
Office Administration
- Oversee daily office operations, including reception, mail, courier and front-desk activities
- Develop, put in place and maintain office policies, procedures and filing systems (physical and digital)
- Manage calendars, schedule meetings and coordinate appointments for management
- Prepare correspondence, reports, presentations and meeting minutes
Facilities & Vendor Management
- Make sure the office is clean, safe, secure and well maintained
- Coordinate repairs, maintenance and building management requests
- Source and negotiate with suppliers and service providers, and manage their contracts
- Monitor office supplies and equipment, and place orders on time
Finance & Budget
- Manage the office budget and track expenses
- Process invoices, petty cash and purchase orders, and reconcile them with Finance
- Find cost-saving opportunities without lowering service quality
HR & Staff Support
- Support onboarding and offboarding: workstation setup, ID/access cards, IT accounts and induction
- Keep employee records, attendance and leave tracking up to date
- Coordinate visas, medical insurance and government/PRO transactions where applicable (for example, UAE labour and immigration processes)
- Organize staff events, trainings and internal communications
Travel & Events
- Arrange business travel, hotel bookings and visas for staff and visitors
- Plan and coordinate company meetings, events and client visits
Compliance & Health & Safety
- Keep trade licenses, permits, insurance policies and lease agreements current
- Make sure the office meets health, safety and fire regulations
- Maintain confidentiality of company and employee information
Team Supervision
- Supervise administrative staff such as receptionists, office assistants, cleaners and drivers
- Assign tasks, monitor performance and provide guidance
Qualifications & Experience
- Bachelor's degree in Business Administration or a related field (preferred)
- 3-5+ years of experience in office management or senior administration
- Experience with vendor management and budget handling
- Knowledge of local labour law and government procedures is an advantage
Skills & Competencies
- Advanced MS Office (Excel, Word, Outlook, PowerPoint) or Google Workspace
- Familiarity with ERP, HR or accounting systems (e.g., Zoho, SAP, Odoo)
- Basic bookkeeping and budget tracking
- Document management and record keeping
- Excellent organizational and time-management skills
- Strong written and verbal communication (English required; Arabic is a plus)
- Ability to multitask and prioritize in a fast-paced environment

Pay
Pay: AED5,000.00 - AED11,422.10 per month
