Job summary

Phoenix Dison is seeking a motivated Sales Coordinator to support our sales team in handling inquiries, quotations, orders and documentation for machinery and industrial equipment in the UAE.

The ideal candidate will communicate effectively, coordinate with customers, suppliers and internal teams, and ensure timely follow-ups, accurate quotations, and smooth order processing. Experience in heavy equipment or technical sales is preferred.

Qualifications

• Strong communication and interpersonal skills.
• Good English communication skills, both written and spoken.
• Ability to prepare professional quotations and sales documents.
• Strong follow-up and coordination skills.
• Good organizational and time-management abilities.
• UAE work experience is preferred.
• UAE driving licence is an advantage.

Responsibilities

• Coordinate daily activities between the sales team, customers, suppliers and management.
• Receive and respond to customer inquiries through phone, WhatsApp, email and other communication channels.
• Prepare and send quotations, proforma invoices, sales orders and other sales documents.
• Follow up with customers regarding quotations, pending orders, payments, deliveries and requirements.
• Maintain and update customer and sales databases.
• Coordinate with the warehouse, logistics, purchasing and technical teams regarding machinery availability and delivery schedules.
• Obtain prices and availability from suppliers when required.
• Assist sales executives in preparing product information, specifications and commercial proposals.
• Maintain proper records of quotations, orders, invoices, customer communications and follow-ups.
• Monitor pending quotations and proactively follow up to convert inquiries into sales.
• Coordinate machinery demonstrations, inspections, deliveries and customer visits when required.
• Assist in preparing daily, weekly and monthly sales reports.
• Support the sales team in identifying new business opportunities and potential customers.
• Coordinate with customers regarding after-sales service, spare parts, maintenance and technical support.
• Ensure customer requirements are communicated accurately to the relevant departments.
• Handle customer complaints and coordinate with management for timely resolution.
• Maintain professional relationships with existing and potential customers.
