Role Context
The Front Office Supervisor connects guest-facing service with the daily control of reception operations. The position coordinates room readiness, monitors employee performance, handles operational concerns and provides clear handovers so that guests receive reliable assistance throughout their stay.
Key Responsibilities
- Review daily arrival information, room allocations, amenities and individual guest preferences.
- Welcome arriving guests and complete registration and check-in procedures.
- Confirm that guest profiles and reservation details are correctly entered in the hotel system.
- Manage front desk cashiering, account settlements and foreign exchange transactions.
- Assist with night audit duties and verify relevant financial documentation when assigned.
- Process walk-in bookings and telephone reservations when the Reservations department is closed.
- Respond to guest questions, requests and service enquiries in a courteous and timely manner.
- Take ownership of complaints and coordinate immediate action with the responsible department.
- Issue guest room key cards and follow established access-control and security procedures.
- Record and deliver guest messages accurately.
- Support the information counter, business centre and foreign exchange services as required.
- Check paymaster accounts and report findings to the Front Office Manager.
- Review the reception logbook and follow up on incomplete tasks, pending requests and daily assignments.
- Monitor hotel occupancy, scheduled events, group movements and priority guest arrivals.
- Prepare and organize daily reception reports and supporting documents.
- Update the operational logbook with complete and accurate shift information.
- Conduct structured handovers so the next team understands unresolved matters and service priorities.
- Check front office equipment and arrange timely reporting of faults or operational problems.
- Supervise daily reception activities and communicate important developments to front office management.
- Observe employee performance and provide coaching to improve service delivery.
- Follow hotel fire safety, first aid and emergency procedures.
- Coordinate Front Office operating standards according to established Rixos procedures.
- Maintain professional grooming and a friendly, composed manner throughout the shift.
- Keep current knowledge of hotel facilities, promotions, events and daily activities.
- Participate in scheduled training and maintain respectful cooperation with other departments.
Ideal Profile
- Applicants should possess a university degree in Hotel Management and at least three years of experience in a similar front office position.
- Strong leadership, interpersonal and employee-training abilities are required.
- The suitable candidate will communicate confidently with guests, manage several priorities simultaneously and remain professional during demanding operational periods.
