Role Context
The Front Office Agent serves as a central point of contact between guests and hotel operations, managing key stages of the guest journey from arrival through departure. The position combines reception responsibilities with reservations support, cashiering, room key control, guest communication, night audit assistance, and daily operational coordination. Accurate records, professional service, and timely follow-up on guest requests help strengthen satisfaction while supporting efficient front office performance.
Key Responsibilities
- Register arriving guests and complete check-in procedures accurately and efficiently.
- Process guest departures, account settlements, and check-out formalities in a professional manner.
- Update guest profiles and reservation information in the hotel system after completing registration procedures.
- Perform cashiering duties, foreign exchange transactions, payment settlements, and assigned night audit activities.
- Handle walk-in reservations and process telephone bookings when the reservations department is unavailable.
- Welcome guests warmly and respond promptly to requests, questions, and service enquiries.
- Resolve guest complaints where possible and coordinate with relevant departments for immediate follow-up when additional support is required.
- Issue room key cards according to security procedures and maintain appropriate control over access credentials.
- Receive, record, and deliver guest messages, mail, parcels, and related correspondence.
- Provide operational support at the information desk, business centre, foreign exchange counter, or night audit function when assigned.
- Maintain current knowledge of room rates, packages, market segments, discounts, promotions, and applicable booking conditions.
- Handle safe deposit boxes according to established hotel policies and security procedures.
- Report unusual incidents, suspicious activity, maintenance concerns, or exceptional guest requests to the appropriate manager.
- Follow hotel accident prevention, fire safety, emergency response, and first aid procedures.
- Maintain a clean, organised, and professional front office environment throughout the shift.
- Ensure guests are acknowledged and greeted appropriately when arriving at or departing from the hotel.
- Review the front office logbook at the beginning of each shift and follow up on outstanding matters or special assignments.
- Monitor daily occupancy, expected arrivals, departures, groups, functions, and VIP guest movements.
- Prepare for upcoming arrivals by reviewing room allocations, amenities, preferences, and special requests.
- Maintain contact with guests during their stay and ensure concerns are addressed courteously and without unnecessary delay.
- Update the logbook with important operational information and communicate clear handover notes to the incoming shift.
- Inspect front office equipment and report faults that may affect daily operations.
- Maintain professional grooming, uniform standards, and a friendly disposition during all guest interactions.
- Support the daily coordination of front office activities and report significant operational developments to the Assistant Front Office Manager or Front Office Manager.
- Assist with guest complaint handling and ensure serious or unresolved concerns are escalated appropriately.
Ideal Profile
- University degree in Hotel Management or a related hospitality discipline.
- Minimum 1 year of experience in a similar front office position within a 4-5 star hotel.
- Practical knowledge of hotel check-in and check-out procedures.
- Familiarity with room reservations, guest profiles, room allocations, rate codes, packages, and discounts.
- Experience handling cashiering activities, payment settlements, and guest account transactions.
- Comfortable responding to complaints and coordinating solutions with operational departments.
- Strong verbal and written communication skills.
- Ability to manage several guest requests while maintaining accuracy and professional service.
- Good awareness of hotel security, key card control, safe deposit procedures, and guest confidentiality.
- Understanding of occupancy reports, VIP arrivals, group movements, and daily hotel activity.
- Professional grooming and a calm, approachable manner suitable for a guest-facing hotel role.
- Ability to work rotating shifts and support front office operations according to hotel business requirements.
