Role Context
The Assistant Front Office Manager provides the operational leadership needed to maintain efficient arrivals, stays and departures across a busy luxury resort. Acting as Manager on Duty when assigned, the role connects Front Office with Housekeeping, Engineering, Security, Recreation and other departments to resolve service issues and maintain continuity during peak periods.
Key Responsibilities
- Oversee daily Front Desk operations and support the Front Desk Manager.
- Coach, guide and direct Reception Agents throughout each shift.
- Promote an engaging, service-driven and results-focused working environment.
- Monitor employee performance and provide practical training when required.
- Review open guest balances and confirm sufficient deposits are available.
- Verify credit cards using approved electronic authorization and payment methods.
- Control the operational house bank according to hotel procedures.
- Complete corrections and adjustments in guest folios accurately.
- Maintain an organized filing system for registration and financial documents.
- Follow up on outstanding accounts and ensure departing guests complete payment.
- Enforce hotel credit policies and approved financial controls.
- Perform daily bucket checks against guest folios and supporting receipts.
- Verify that individual and team cash reports are balanced at shift closure.
- Ensure remittance envelopes are deposited securely in the cash vault.
- Review reservations and complete accurate room assignments and blockings.
- Monitor availability and confirm that special room requirements are handled correctly.
- Supervise guest registration according to established procedures.
- Review Front Desk transactions and approve registration documentation.
- Arrange pre-registration for returning guests when appropriate.
- Maintain accurate guest profiles, preferences and stay histories.
- Promote loyalty enrolment and guest-recognition programs.
- Submit required guest information to relevant local authorities.
- Maintain strict control of room keys and access procedures.
- Follow up on scheduled departures and resolve housekeeping discrepancies.
- Promote hotel facilities, services, offers and operating hours.
- Lead guest-recovery actions and ensure concerns are resolved and followed up.
- Personally assist priority guests and individuals requiring special attention.
- Act as Manager on Duty and represent Executive Management during assigned shifts.
- Coordinate operations across Front Office, Housekeeping, Engineering, Security, food and beverage and Recreation.
- Lead emergency responses and manage accidents or critical incidents.
- Maintain operational continuity during high occupancy, major events and peak periods.
- Conduct resort quality inspections against Fairmont standards.
- Support compliance with luxury quality-assurance requirements.
- Monitor ALICE service-delivery and recovery tickets.
- Review outstanding requests and follow up with responsible departments.
- Drive ethical upselling opportunities and additional hotel revenue.
- Reduce rebates, billing errors and unnecessary compensation.
- Monitor goodwill gestures and confirm appropriate authorization.
- Oversee Kids Club and Health Club activities when operationally required.
- Complete other responsibilities assigned by hotel management.
Ideal Profile
Candidates should have at least one year of proven supervisory experience or equivalent responsibility within Front Office or luxury hotel operations. A degree or diploma in Hospitality Management is advantageous. Fluency in English is required, and an additional language is preferred. The successful applicant will demonstrate strong leadership, guest-service and training abilities while managing multiple requests under pressure. Experience with hotel loyalty programs and Opera or Opera Cloud Property Management System will be beneficial.
