Qualifications

  • Excellent English communication skills; Arabic is a plus.
  • Advanced proficiency in MS Office (Outlook, Word, Excel, PowerPoint).
  • Strong organizational skills and meticulous attention to detail.
  • Discretion and ability to handle confidential information.
  • Excellent interpersonal and communication skills with senior stakeholders.

Job description

The Executive Secretary to the COO provides high-level, confidential administrative and secretarial support to the Chief Operating Officer of Daikan Hospitality Group, ensuring the COO's time, priorities, and information flow are managed efficiently and professionally.

The role owns the COO's calendar and correspondence, coordinates meetings and travel, prepares reports and presentations, and manages sensitive documentation, acting as a trusted gatekeeper and first point of contact for the Executive Office. Working closely with Senior Leadership, Department Heads, and external partners, the Executive Secretary ensures smooth communication and follow-up across the business, representing the COO's office with discretion, professionalism, and sound judgment at all times. The role requires exceptional organizational ability, absolute confidentiality, and the composure to manage competing priorities in a fast-paced, multi-site hospitality environment.

Key Responsibilities
  • Calendar Management: Manage the COO's calendar, prioritize meetings, resolve conflicts, and coordinate with executives and department heads.
  • Correspondence & Reporting: Draft correspondence, prepare reports and presentations, maintain confidential records, and track action items.
  • Meeting Coordination: Organize leadership meetings, prepare agendas/materials, take minutes, and follow up on actions.
  • Travel & Logistics: Arrange domestic/international travel, visas, accommodation, itineraries, and expense reconciliation.
  • Liaison & Confidentiality: Act as a key liaison for the COO, manage stakeholders and requests, and handle sensitive information with discretion.
  • Executive Office Support: Oversee daily administration, coordinate with Executive Assistants, support events and offsites, and manage ad-hoc projects.
Qualifications
  • Bachelor's degree in Business Administration or a related field preferred
  • Minimum 5 years of experience as an Executive Secretary/Executive Assistant supporting C-level or senior management, ideally within hospitality or a fast-paced multi-site business
  • Excellent command of written and spoken English; Arabic is an advantage
  • Advanced proficiency in MS Office (Outlook, Word, Excel, PowerPoint)
  • Exceptional organizational skills with strong attention to detail and follow-through
  • High level of discretion, integrity, and the ability to handle confidential information appropriately
  • Strong interpersonal and communication skills, comfortable liaising with senior stakeholders and external partners
  • Ability to multitask, prioritize, and remain composed under pressure and tight deadlines
  • Polished, professional presentation and demeanor
  • Flexibility to extend working hours in line with the COO's schedule and business needs
