Document Control Specialist for Engineering Projects

Job summary

AESG is seeking a skilled Document Controller to join our Dubai team and support multiple projects. You will manage document control systems, ensure accurate logging, and maintain audit trails across platforms to support engineering and construction initiatives.

You will coordinate with project teams and clients, administer transmittals, and train staff on IMS/QMS procedures while safeguarding confidentiality of documentation. Dubai-based role with a focus on quality and timely delivery.

Qualifications

• Bachelor's degree or diploma in a relevant field or equivalent industry experience.
• 3–4 years' experience as a Document Controller in engineering, architecture, or construction consultancy.
• Proficient with Aconex, SharePoint, ACC, and Microsoft Office.

Responsibilities

• Set up and manage project document control systems (Aconex, SharePoint, ACC) in line with project and company procedures.
• Upload, register, code, and distribute incoming and outgoing project documentation, drawings, and correspondence.
• Track document status, revisions, and approval workflows, ensuring version control across all platforms.
• Issue transmittals and maintain accurate document registers and audit trails.
• Coordinate with project teams, subconsultants, and clients to ensure timely submission and receipt of documentation.
• Monitor and report on outstanding actions, document turnaround times, and compliance with project timelines.
• Maintain electronic and physical filing systems in line with IMS/QMS procedures.
• Provide training and support to project staff on the use of document management platforms.
• Ensure confidentiality and security of project information at all times.
• Escalate complex or non-standard document control issues to the Document Control Lead for review.
