Job summary

KEO International is seeking a talented Document Control Manager to join our Abu Dhabi team, supporting a prestigious waterfront residential development. Qualifications

  • Proven experience as a Document Control Manager on major construction projects.
  • Strong consultancy, PMC or supervision consultant experience preferred.
  • Experience working on luxury residential, waterfront, hospitality, mixed-use or large-scale developments.
  • Advanced knowledge of document management systems, particularly Aconex.

Responsibilities

  • Manage document control activities across the full project lifecycle in line with procedures and client requirements.
  • Oversee document management systems, reporting requirements and information workflows to support delivery.
  • Coordinate submission, review and approval of design documents, shop drawings and technical submissions.
  • Lead and support document control teams; coordinate with project controls, engineering and construction teams to improve information flow.

Responsibilities

Our newest opportunity is for a talented Document Control Manager to join our multidisciplinary team in Abu Dhabi, supporting the delivery of a prestigious waterfront residential development comprising luxury villas and premium residential communities.

The successful candidate will be responsible for managing document control processes across the project lifecycle, ensuring accurate, efficient and compliant management of project documentation, submissions, approvals, correspondence and records.

Working closely with project management teams, design consultants, contractors, specialist subcontractors and client representatives, the Document Control Manager will oversee document management systems, reporting requirements and information workflows to support successful project delivery from design validation through construction and handover.

The ideal candidate will have extensive experience managing document control functions on major construction projects, preferably within a consultancy, PMC or supervision environment.

We envisage success in this role to include;

  • Document Control Management
    • Managing and oversee all project document control activities in accordance with project procedures and client requirements.
    • Establishing and maintain document control systems, processes and workflows.
    • Ensuring all project documentation is accurately registered, tracked, distributed and archived.
    • Managing incoming and outgoing correspondence, drawings, technical submissions, RFIs, reports and approvals.
    • Maintaining document registers, trackers and reporting dashboards.
    • Ensuring timely distribution of approved documents to relevant project stakeholders.
    • Monitoring document status, review cycles, approvals and outstanding actions.
  • Project Information Management
    • Managing project documentation through digital platforms including Aconex or similar document management systems.
    • Ensuring compliance with document naming conventions, revision control and approval processes.
    • Maintaining accurate records of design submissions, construction documentation, technical queries and project correspondence.
    • Supporting document audits and ensure information is readily accessible when required.
    • Managing document workflows between client, consultant, contractor and specialist teams.
  • Design & Construction Documentation
    • Coordinating the submission, review and approval process for design documents, shop drawings, material submissions and technical documentation.
    • Tracking consultant and contractor submissions against project schedules.
    • Monitoring outstanding comments, approvals and resubmissions.
    • Supporting design validation activities by maintaining accurate records of review comments and responses.
    • Managing construction documentation including inspection records, reports, testing documentation, handover records and as-built submissions.
  • Reporting & Team Management
    • Preparing document control reports, dashboards and status updates for project leadership.
    • Monitoring team performance and ensure compliance with project document control procedures.
    • Leading and support document control teams where required.
    • Coordinating with project controls, engineering and construction teams to improve information flow.
    • Implementing best practices to improve document management efficiency and project communication
Qualifications

To be successful in this dynamic opportunity, we envision that your career journey to date will include 12 years work experience partnered with a Bachelor degree in Engineering, Business Administration, or a related field

Other requirements:
